With over 36 million visits annually to the National Mall, combined with aging infrastructure and the need for better visitor amenities throughout the park, the Trust is helping the National Park Service tackle the more than $800 million needed for critical repairs and improvements.

Brief Position Summary

The Philanthropy Assistant's primary role is to provide administrative support to the Vice President of Philanthropy in achieving the annual fundraising and campaign goals of the Trust. At times, this may include support for the Philanthropic leadership team and/or collaborative work with other teams. The Philanthropy Assistant also works closely with the Executive Assistant to the President & CEO to facilitate campaign-related meetings and activities. Additional responsibilities include daily records maintenance for contacts, moves management, gifts, and receipts.

The Philanthropy Assistant must manage their work efficiently, with confidence and competence. The person in this position must be comfortable working within a fast-paced, collaborative environment. A flexible mindset, sense of urgency, ability to manage multiple projects and tasks simultaneously and willingness to pitch in are highly valued.


Starting Salary is $55,000


Responsibilities

  • Coordinate meetings, travel, and logistics for the Philanthropy leadership team and as needed to support the Executive Assistant to the President & CEO; make travel arrangements and dining reservations, negotiate with other schedulers, submit research requests, create collateral packets, etc. in support of donor meetings.
  • Assist with moves management, ensuring that contacts, actions, and conversions are properly tracked and recorded in Salesforce and preparing periodic reports for the Philanthropy leadership team to assess progress.
  • Perform routine gift entry and reporting and support stewardship activities; ensure that gifts are promptly and accurately recorded in Salesforce, distribute weekly/monthly reports, prepare acknowledgement letters, and assist with signature routing, etc.
  • Provide other administrative support for the Trust's philanthropic efforts as needed; assist with meeting agendas and minutes, support the Philanthropy team's reporting of goals and metrics, collaborate with other teams in support of special events and campaigns, etc.
  • Actively participate in building organizational and team culture aligned with the Trust's values; model collaboration and teamwork by performing other duties as assigned and/or approved.


Key Skills

  • Demonstrated proficiency in planning, arranging, and supporting meetings and domestic travel as necessary. Experience in scheduling with high profile individuals and corporate relations teams is beneficial.
  • Proficiency with office productivity tools (Office 365 or Google Suite) is required, with an emphasis on Outlook, SharePoint, Teams, Word, Excel, and PowerPoint.
  • Familiarity with Salesforce or similar CRM platform is highly beneficial.
  • A commitment to integrity and professional ethics in working with confidential donor information as this requires discretion, ethical awareness and strict compliance with privacy and security practices.
  • High emotional intelligence.
  • Passion for and commitment to the Trust's mission and values.

  • Strong organizational skills and attention to detail.
  • Ability to prioritize and manage time and multiple tasks effectively while keeping another's tasks organized.
  • Strong written and verbal communication skills are essential for drafting emails, handling inquiries, interacting with internal and external stakeholders, and preparing briefings and reports.
  • Proactive collaboration and ability to anticipate needs with a flexible mindset.
  • Strong interpersonal skills and a positive and supportive attitude.


Education

  • Some post-secondary education or administrative certification is desired; the appropriate level of education may vary depending on the extent and relevancy of professional experience.


Experience

  • Candidates should have the equivalent of at least 2 years of full-time experience providing similar scheduling and data support.
  • Some experience in a nonprofit fundraising environment is preferred.
