JOIN for Justice is the premier Jewish organizing training institute in the United States, with over 20 years of experience training rabbis, Jewish leaders, and everyday people to be effective changemakers in order to create a more just world. Position Overview:

Join us as our Program & Events Coordinator, where you will play a vital role in advancing our mission of tikkun olam, repairing the world. Reporting directly to the Senior Organizer, you will manage the planning, coordination, and execution of our program and organization events.

Job Responsibilities

Program Coordination

  • Provide logistical support for multiple virtual and onsite programs.
  • Provide technical support for program participants, staff & consultants. 
  • Support recruitment efforts and manage the registration process for multiple programs in EveryAction, our organizational database.   
  • Support curriculum and training materials updates and file organization.
  • Manage program participant onboarding process (IT access, collecting bios, orienting, accommodating access needs).
  • Provide technical support for Zoom meetings and troubleshooting.
  • Facilitate the smooth operation of administrative and programmatic logistics for Thinkific, our learning platform for JOIN’s online organizing course. Duties include uploading and updating course materials and orienting trainers and participants to proper use of the platform. Create, distribute and track pre and post-program evaluation surveys Analyze data and create compelling post-program reports Arrange services to assist with participants’ access needs, including hiring American Sign Language interpreters, closed captioning or other disability accommodations as required. 

Event Coordination

  • Plan and execute the logistics for in-person and virtual events (for programs, development, board, and staff).
  • Research and procure vendors for meeting locations, program retreat centers, catering, participant dietary restrictions, and program supplies.
  • Book & coordinate travel for program staff, trainers, and participants.
  • Plan and execute the logistics for small fundraising events.

Administrative

  • Process program paperwork for Accounts Payable and Receivable. Work with program staff to produce acceptable documentation and work with Finance to obtain contracts for outside vendors. 
  • Take notes at meetings as requested.
  • Set up and manage program staff’s Calendly scheduling tools. Support occasional meeting scheduling between staff, participants, and consultants (trainers/facilitators).
  • Maintain program-related contact and registration information in EveryAction.
  • Support Accounts Payable processes and reimbursement paperwork for program staff.
  • Support Co-Executive Director calendars (including board correspondence, scheduling, confirming appointments, and coordinating travel arrangements). 

What You’ll Need to Succeed:

To be successful in this job, you will have the following:

  • At least 2 years of experience in event planning and logistics.
  • A desire to work with many different types of people and teams, including staff, vendors, contractors, course instructors, and program participants. 
  • The ability to organize and track a high volume of work with efficiency – completing tasks from multiple programs simultaneously.
  • A strong sense of accountability for completing tasks and meeting deadlines.
  • The ability to manage an expansive workload across multiple projects and communicate if support or extended timelines are needed.
  • Experience with the following software: Microsoft Google Products (Gmail, Drive, Docs, Sheets, Slides, and Calendar), scheduling tools such as Calendly or Doodle, Zoom.
  • Strong communication skills, including compassionate customer service skills for supporting program participants and responding to their questions.
  • A demonstrated commitment and willingness to deepen one’s education about racial and disability justice work. 
  • Alignment with JOIN for Justice’s values and ability to represent JOIN’s mission, vision, and values effectively.
  • Available to work occasional evening and weekend hours, as most of JOIN’s programming occurs outside of the typical work day. This time will be in accordance with JOIN for Justice’s policy towards compensatory time off.

Not required, but helpful additional items:

  • Experience or comfort working within the Jewish community.
  • Experience working for a fully remote organization.
  • Familiarity with community organizing.

What Your Typical Work Day Might Look Like:

  • Research securing a venue for an upcoming in-person program event in Boston, MA.
  • Remind program participants to complete a Doodle poll to select a date and time for an upcoming virtual training.
  • Attend a Zoom meeting in a technical support role where you assign breakouts, play music, and monitor the waiting room.
  • Assemble paperwork, obtain approval to pay external program vendors, and submit to Finance for processing.
  • Meet with a program lead to plan a training session timeline, including logistical deadlines and role delegation. 
  • Communicating with the program leads to evolving work priorities as proactively as possible.

Compensation and Benefits

  • Salary Range: $50,000 – $56,000 depending upon experience.
  • Benefits: 80% employer paid health and dental insurance, 5% 401k match after one year. Other benefits include life insurance, disability insurance, health & dependent care FSA accounts.
  • Vacation time: 12 days in the first year, 15 days in the second year. 
  • 12 PTO days per year.
  • Holidays: Generous Federal holiday schedule, plus 13 Jewish holidays.
  • WFH Office: A company computer and virtual phone line will be provided.  A stipend of $50 a month to cover home office expenses.Union membership: This position is represented by the JOIN Workers Union, a NPEU/Local 70 member, IFPTE.

Your Work Location/Travel Requirements:

This position will primarily be a work-from-home virtual job. There will be occasional travel for in-person events, retreats, and meetings. Some events may require up to a week away from home. JOIN is a fully remote organization. Occasionally, virtual sessions will require evening work hours or work on weekends.
