PROGRAM OVERVIEW


Beginning with Children Legacy Network is based in Brooklyn, NY. We aim to equip our graduates with the tools necessary to succeed in advanced educational settings and a rapidly changing world. The program provides a range of support for middle, high school, and college students, from academic tutoring and high school selection strategies to goal assessment and social/emotional development workshops.  The program runs paid career-building and leadership programs for high school and college-aged students.


POSITION SUMMARY


We are looking for an upbeat, organized, and motivated individual who is interested in joining our team in the position of Administrative Assistant.  Under the direction of the Summer Internship Management Team this person will perform varied human resources, payroll and admin tasks.  This team member is expected to be presentable and friendly, with excellent communication and organizational skills. 



Duties and responsibilities


  • Timesheets: collect, compile and verify student and part-time employee timesheets and submit them to Human Resources for processing.  
  • Onboarding and pre-employment: Ensure students and part-time employees complete all pre-employment paperwork and get onboarded into the payroll system.
  • Act as the liaison between Human Resources and students to ensure smooth communication and prompt resolution of requests and questions.
  • Maintain payroll information by collating, calculating, and entering data.
  • Perform all tasks before payroll to ensure students and part-time employees are compensated and notified on time.
  • Provide clerical and administrative support to the Summer Internship Management Team.
  • Create and maintain spreadsheets in Google Drive.
  • Keep records up to date: Update records by entering changes to employee information, such as name, address, and direct deposit information, into our CRM database.



Requirements and Skills

  • Basic knowledge of labor laws preferred
  • Excellent organizational skills
  • Exceptional interpersonal skills
  • Ability to communicate well both verbally and in writing
  • Ability to produce accurate work and pay attention to details
  • Strong proficiency in Excel, Google Sheets, and Google Suites. Experience with Zoom preferred.
  • Team player with proven ability to build and maintain relationships with employees and management across all levels.
  • Ability to effectively communicate and work with parents and students new to payroll and financial conversations


Requirements:

  • High School Diploma or equivalent
  • Completion of a bookkeeping or similar course is highly advantageous.
  • Previous experience as payroll assistant preferred
  • Excellent data entry, data cleaning, and math skills
  • Capacity to keep track of numerous ongoing tasks
  • Adherence to all prescribed ethical guidelines, including confidentiality
  • Strong sense of integrity
