Description

We are seeking an Assistant Company Manager to support American Ballet Theatre’s (ABT’s) General Management department with all matters related to touring logistics, visiting artists, and general company administration.

The Assistant Company Manager is a critical member of ABT’s Touring Staff, and your primary responsibility will be organizing, coordinating, and facilitating travel for a Touring Company of 130 people. Travel is required for this position, as you support ABT’s domestic and international touring engagements, and you must be able to work a varied and demanding schedule that includes late nights, weekends, and holidays, particularly during tours and our New York Performance Seasons. You will have the opportunity to work both independently and as part of our team, exercise creative problem solving, assist with the ongoing assessment of general Touring Company administrative policies, and actively contribute to ABT’s mission to share classical dancing with the widest possible audience. This position reports to the Company Manager.

Job Responsibilities

  • Oversees travel logistics for all domestic and international tours, with support from the Company Manager, including booking and managing group flights, hotels, and ground transportation for a Touring Company of 130 people.
  • Organizes and supports Touring Company members throughout travel days, including facilitating group airport transfers, group check-in at airports and at hotels, and for the duration of ABT’s domestic and international tours.
  • Develops, distributes, and tracks online sign-ups for Touring Company airport transfers, flights, and hotels.
  • Prepares tour books and informational documents regarding all aspects of tour and travel (schedules, local area information, medical and emergency contacts, etc.).
  • Assists Company Manager and Marketing Department with box office set-up and company seat holds for our New York Seasons, and oversees house seat orders, contractual tickets, and the distribution of complimentary tickets in New York and on tour.
  • Maintains all essential company contact and travel information, including passport and immigration records, and assists Company Manager with the preparation and processing of visa applications and other documents necessary for international touring.
  • Assists the Company Manager in the preparation of payroll through the calculation of Dancer overtime.
  • Organizes, maintains, and ensures the accuracy of Company Management files.
  • Responsible for re-stocking and packing theater crates for the Company Management tour office.
  • Performs other duties as assigned.

Essential Skills and Qualifications

  • Bachelor’s degree in arts administration or business administration OR an equivalent combination of education and performing arts experience required.
  • Excellent organizational, communication and interpersonal skills, and the ability to prioritize and manage competing tasks.
  • Strong computer skills and proficiency in Microsoft Office, Google Workspace, and Adobe Acrobat, and the ability and willingness to learn new software when necessary.
  • The ability to work a varied and demanding schedule (including days, evenings, weekends, and holidays) and travel outside New York City for extended periods when ABT is on tour.
  • Commitment to maintaining absolute discretion and confidentiality.

You will be ready to take on this role if you have:

  • Previous touring, travel, and/or travel booking experience.
  • A flexible, adaptive, and positive attitude, especially when confronted with the unexpected.
  • The ability to work independently, while also supporting colleagues and general Touring Company operations and collaborating with others as required.
  • An understanding of or willingness to learn more about ballet and the operations of a ballet company.

Work Environment and Conditions

  • Work is performed in an office environment, either at our New York City studios or at theaters during performance and tour weeks.
  • In-person work, and travel are required for this position.
  • The Assistant Company Manager position is exempt and works a varied schedule depending on the needs of the Touring Company, including late nights, weekends, and holidays.
