National CAPACD seeks a highly organized, detail-oriented, dependable, and mission-driven Executive Coordinator to support its Executive Team.

National CAPACD seeks a highly organized, detail-oriented, dependable, and mission-driven Executive Coordinator to support its Executive Team (Chief Executive Officer, Chief Strategy & Impact Officer, Chief Finance & Operations Officer, and Managing Directors) and organization-wide projects. The Executive Coordinator will be responsible for scheduling meetings, providing office support for the headquarters office in Washington, DC, and handling logistics of all staff in-person meetings.

This is a full-time, non-exempt position based in the Washington, DC office. The Executive Coordinator is expected to go into the office at least once every two weeks and by request when expecting guests. At other times, the Executive Coordinator may choose to work remotely from their home office. The Executive Coordinator reports directly to the Executive Project Manager.

Roles and Responsibilities Include:

  • Deliver timely administrative support to the Executive Team members, including scheduling, external and internal communication, and other administrative tasks as requested;
  • Schedule, coordinate, and send out reminders for staff-wide and team meetings;
  • Maintain basic office operations for the headquarters in Washington, DC, such as reserving rooms for meetings, ordering supplies, receiving guests, maintaining office equipment, managing mail, and ensuring regular cleaning and maintenance of the office;
  • Work in coordination with the Director of People and Culture for both virtual and in-person all-staff meetings and retreats by handling the logistics, such as making travel arrangements, working with the agenda planning committee, and implementing best practices to ensure participants’ needs are met;
  • Work in partnership with the Executive Team lead on logistics for the Management Team and Executive Team in-person meetings;
  • Coordinate with staff when hosting member organizations and partners in the DC office;
  • Other special projects as requested.

Other Functions and Responsibilities:

  • May lead or join cross-functional teams to solve complex organizational issues;
  • Assist with National CAPACD events, including our biannual Building CAPACD Convention;
  • Other duties as assigned.

Required Qualifications:

  • At least 1 year of administrative experience in an office setting;
  • Commitment to National CAPACD’s mission and working knowledge of the needs of low-income, immigrant, Limited English Proficient (LEP), Asian American, Native Hawaiian, and Pacific Islander (AA and NHPI) communities;
  • Highly organized, attention to detail, and ability to meet deadlines;
  • Excellent interpersonal skills and ability to communicate effectively, both verbally and in writing, including timely follow-through and responsiveness;
  • Strong proficiency in Google Suite and Microsoft Office;
  • Proficient project management skills;
  • Ability to take initiative, problem solve, and work both independently and collaboratively;
  • Must work well under pressure with a proactive approach to administrative challenges;
  • Ability to prioritize and ask clarifying questions to ensure understanding;
  • Must be a team player with demonstrated ability to work well in a small, highly collaborative environment.

Desired Qualifications:

  • Experience coordinating office functions;
  • Strong understanding and experience supporting an Executive Team;
  • Proficiency in Salesforce, Asana, and Slack.

Essential Physical Requirements:

  • The person in this position must be able to communicate via phone, including conference and video calls, as well as written communication, such as Slack and email;
  • This position requires the ability to remain in a stationary position to operate a computer (and other office productivity machinery) and manual dexterity to operate a keyboard for extended periods of time;
  • This position requires the ability to occasionally lift objects weighing up to 10 pounds;
  • This position requires the ability to travel domestically with overnight stays. Travel may involve transportation via airplane, car travel, or trains.

Work Environment:

National CAPACD is a primarily remote office environment, with a headquarters office in Washington, DC, and a satellite office in Oakland, CA. However, some roles require a hybrid operation and are based in specific locations. Due to the nature of this particular role, the Executive Coordinator must be able to work out of the Washington, DC, office on a schedule to be determined with leadership and should also be prepared to work from home.

The Executive Coordinator must be able to travel domestically with overnight stays, at a minimum of 4-5 times per year. This position requires the ability to work Monday through Friday, and may require some nights and weekends work when traveling or for events.
