Title: Development Assistant/Assistant to the Executive Director
Reports To: Executive Director and Director of Development
Summary: The Development Assistant/Assistant to the Executive Director provides administrative support to the Development Department and the Executive Director.
The mission of COFEM embraces a community centered approach to promote the advancement of the Latino community through public policy advocacy, educational and cultural programming, strategic mobilization, community organizing, and binational economic development. COFEM is a binational immigrant rights organization that works to empower immigrant communities in the United States and seeks to promote economic development in Mexico to prevent the cyclical trends of northward migration.
Responsibilities:
Development Assistant
•Manage the implementation of direct mail and individual giving campaigns including drafting materials, managing the production schedule, and overseeing project budgets—working closely with and reporting to the Director of Development;
•Lead the drafting of the quarterly newsletter in conjunction with the Deputy Director;
•Provide customer service to donors and other constituents by confirming receipt of contributions and fielding inquiries and complaints;
•Conduct a series of writing assignments including letter writing, report development, and other documents as assigned. Draft letters of inquiry, proposals, and other documents to solicit funding;
•Coordinate with Director of Administration and Operations on development budget reporting and the processing of gifts and donations;
•Perform donor and prospect research on individuals, corporations and foundations
•Support the submission of funding requests (e.g., compiling necessary documents, mailing application package);
•Perform record and data cleanup/updates in the FileMaker data base as needed;
•Create and produce customized reports using FIleMaker donations and other software. Work with the Director of Development to create, and produce customized income/tracking/analytical reports;
•Encourage and support full utilization of FileMaker software among staff by establishing and implementing policies and procedures for management of software;
•Work with finance office to manage and reconcile development and business income records (including but not limited to monthly development revenue report, pledge status reports, and annual audit preparation);
•Organize and maintain development records, office files, and other materials;
•Provide occasional assistance outside the normal schedule to accommodate and support the office;
•Plan and manage fundraising events, including receptions, seminars, and dinners in the United States and Mexico, sometimes traveling to provide support for these events;
Assistant to the Executive Director
•Assist the Executive Director with phone and communications, providing timely, engaging interactions with board members, major donors, foundation and government representatives, and senior executives in government and the private and non-profit sectors;
•Assist the Executive Director with scheduling internal and external meetings;
•Liaison for the Executive Director with COFEM staff including scheduling and developing agendas for staff and group meetings;
•Transcribe and draft minutes and notes of Board of Directors and committee meetings;
•Manage travel arrangements and arrange speaking engagements, including interaction with host organizations, expense reimbursement, etc;
Required Skills and Experience
•At least three years prior experience in a similar position within the public, private, or non-profit sector;
•Experience with database fundraising software and other software programs a plus;
•Interest and/or experience with human/civil rights issues, immigrant rights, and/or global development a plus;
•Strong written and oral communication skills;
•Advanced word processing skills and proficiency in the full suite of Microsoft Office programs;
•Committed and able to uphold high levels of accountability for self and for others;
•Ability to multi-task and manage the completion of multiple projects, often with shifting priorities, while working under direct supervision or independently;
•Ability to handle confidential donor/constituency information with sensitivity and integrity;
•Experience working in a fast-paced environment supporting executives and managing travel arrangements and work calendars for such individuals preferred;
•Demonstrated ability to be creative, flexible, well-organized;
Education Requirements
Bachelor’s degree in public administration, urban planning, public health, sociology, social work, or a related field. Education requirements may be waived if candidate meets all of the above skills, abilities, and experiences.
