POSITION DESCRIPTION:
The Administrative Assistant provides administrative and logistical support to the Agency Director and his staff team (e.g. King County leadership team, technology, communications, fund-raising, mission team, justice roundtable, quality assurance, and training) throughout Catholic Community Services/King County.
MAJOR DUTIES AND RESPONSIBILITIES:
1. Prepare and proof letters, reports, memos, and distribute as appropriate; prepare agendas, correspondence and documents as needed.
2. Maintain accurate and up-to-date filing systems of correspondence, reports and work tasks.
3. Answer telephone, route messages; maintain telephone system in the office.
4. Provide information and referrals to interested persons concerning housing services, emergency shelter, and other resources. Responsible for creating a welcoming environment for individuals who come into the office in search of services.
5. Perform Accounts Payable activities on a regular basis.
6. Distribute incoming mail to appropriate programs and staff.
7. Order and maintain office supplies. Monitor office equipment (e.g. copier, fax, printer, postage meter), keep stocked with paper, toner, etc., and arrange maintenance as needed.
8. Prepare letters, coupons and envelopes for recipients of assistance through the Hunthausen Fund.
9. Maintain petty cash box, bulk mail account, cell phone accounts and parking vouchers.
10. Prepare agency’s United Way applications for participation in combined campaigns at various governmental levels. Represent agency as needed in workplace campaigns. Organize agency’s annual United Way employee campaign.
11. Recruit, coordinate, and supervise office volunteers and paid front office staff. This involves maintaining the relationship with AARP, RSVP, and other volunteer agencies, as well as orienting and training an Office Assistant and volunteers.
12. Arrange and publicize several events throughout the year (Christmas party, bowling tournament, softball tournament) for staff and clients. Assist with planning of staff retreats and ad hoc staff gatherings to note significant events.
13. Provide staff support for CCS system wide groups such as Mission Team, Justice Roundtable, and Fund Raising Group. Accomplishes this task by handling the logistics for the meetings, preparing materials and reports for the group, taking minutes and coordinating deadlines.
14. Provide occasional assistance with grant writing and grant requests.
15. Perform other tasks or special assignments as delegated by Catholic Community Services of King County or designees.
Additional Qualifications:
MINIMUIM QUALIFICATIONS:
1. Two years experience as an Administrative Assistant or equivalent experience.
2. Good English composition and proofreading skills.
3. Excellent word processing skills and solid experience working with Windows, particularly Excel and Word programs, and the ability to learn new skills as needed.
4. Ability to organize and prioritize work tasks and files. Ability to work harmoniously with others and to relate to a diverse working environment.
5. Ability to work within the mission, goals, and objectives of Catholic Community Services
PREFERRED QUALIFICATIONS:
1. Bachelors Degree.
2. Demonstrated ability to manage several diverse tasks at the same time and meet deadlines.
3. Knowledge of services for homeless individuals, low-income housing projects, and resources for low-income people in Seattle.
