Description:

Common Ground is looking for a professional, self-motivated and organized individual to serve as Administrative Assistant to the President and the Common Ground Institute (CGI), which oversees Common Grounds national and international partnership work. This person will handle a broad range of tasks related to scheduling, correspondence and communications.

Responsibilities:
-Perform administrative tasks as requested by the Director of CGI, the Director of Innovations and the President.
-Plan and implement logistics for meetings and events.
-Manage the presidents time and daily schedule, exercising strong judgment to screen requests and make proactive suggestions.
-Manage and track finances for the Office of the President and CGI, including reconciling expenses and invoices and preparing requests for payments
-Manage all components of CGIs office space, including supplies, communication infrastructure and coordination with building management.
-Answer the Presidents phone and track messages, maintain key files and make travel arrangements and manage the Presidents email correspondence as needed.
-Maintain CGI file systems, including shared drive and shared contacts database.
-Serve as first contact for important guests and visitors, assisting and directing as needed.
-Develop and implement a tour program for external visitors, scheduling and giving tours to key stakeholders in national and international locations.
-Working closely with the Director of Special Projects, serve as the Presidents liaison with staff internally, prioritizing critical issues in regular meetings with the President.
-Provide key administrative support for the 100,000 Homes Campaign, including maintaining website and social network content.
-Input and manage data for Institute projects including 100,000 homes campaign.
-Assist with special projects, powerpoint presentations and research as needed.
-Set up and take notes for department calls.

Qualifications:
-Bachelors degree preferred.
-1 2 years administrative experience required.
-Excellent communication skills: ability to present information concisely and effectively, both verbally and in writing.
-Ability to organize, prioritize and multi-task.
-Experience working in a high performing, busy office environment.
-Ability to take initiative, act independently, handle multiple tasks simultaneously, and prioritize.
-Good judgment, strong interpersonal skills, and an attention to detail.
-Ability to use discretion in the handling of confidential and sensitive information.
-Facility with Web 2.0, social media, and blogging technology a plus.
-Advanced proficiency in MS Word, Excel, Powerpoint and Outlook.
-Experience with project management and other graphic software a plus.
-Some evenings and weekends may be required; travel may be required.

Compensation:
Salary is competitive and commensurate with experience; generous benefits package, including health and dental insurance, 403(b) retirement plan with matching benefit; 3 weeks vacation.
