JOB TITLE: Participant Representative (Recruitment)
REPORTS TO: Operations Manager
STATUS: Regular, full-time 6 month position


GENERAL SUMMARY: This position will be stationed in the New York Avon Walk Office but will work remotely for the Houston Avon Walk in April.
This position is the direct link to what the Avon Walk for Breast Cancer event is all about. The Participant Representative is the front-line customer service representative responsible for outreach, on-the-ground recruitment, and ongoing support to Avon Walk for Breast Cancer participants. This position is a critical team member responsible for local outreach efforts, converting leads to participants and, consequently, the Participant Representative is compensated accordingly for conversion efforts.

ESSENTIAL JOB FUNCTIONS:
1. Works diligently to expand the Avon Walk presence in the local market to cultivate a strong lead base. Once leads are established, will use using heavy telemarketing and email contact to convert leads to participants to meet and exceed recruitment goals. Conversion activity directly impacts compensation.
2. Conducts meetings in a public forum for people interested in participating in the event and recruit attendees to register for Avon Walk Breast Cancer events.
3. Assists with research, planning and attends all Anchor events and special events (such as a Great Start Party, Walk Introduction Meetings, GSP, Volunteer Nights, Multi-City Training Walk Day, Training Walks, Expos and any other events deemed appropriate by the Local Office Operations Manager.)
4. Delivers presentations to companies and corporations, civic centers and associations, and faith-based groups, to recruit qualified leads to participate in the event.
5. Speaks publicly and presents to various groups, including corporate employee groups, civic groups, churches, colleges and universities, etc. for the purpose of recruiting participants and for assisting participants with fundraising.
6. Creates and fosters relationships through existing Avon Walk resources (i.e., Team Captains, Training Walk Leaders, Business Partners, Local Sponsors, Beneficiaries, etc.) and other key community organizations/leaders statewide to provide services and/or build public awareness in order to expand outreach activities and support marketing initiatives.
7. Manages outreach efforts through things such as Tabling at Festivals, Expos, Fairs; Flyering/Canvassing business/shopping areas; POP inserts in bags at various runs/walks and overall grassroots outreach, bulletins, local calendar listings, etc. Additionally, analyzes the effectiveness of all statewide outreach efforts and make modifications when appropriate.
8. Assists with solicitation of in-kind donations for the event that will have a direct impact on the bottom-line.
9. Provides excellent customer service by picking up incoming calls. All staff is responsible for quickly answering calls as needed.
10. Collaborates with the entire local office staff in conjunction with the Operations Manager to support projects and outreach events as needed.
11. Takes responsibility for maintaining the office area as directed by Operations Manager. All staff is responsible for their part of the overall neatness and restocking of supplies.
12. Performs other related duties as assigned by management, including unique duties assigned while working actual events.
13. Be an articulate spokesperson for the Avon Walk for Breast Cancer within the community.


KNOWLEDGE, SKILLS, AND ABILITIES:
1. Inside telemarketing sales skills or experience with a proven track record for closing the sale – in this case, getting people who are interested in the event to commit to walk the event and fundraise.
2. Minimum of 3 years of progressively responsible customer service experience in a high-paced environment, preferably in the area of high-volume, customer relationship management.
3. Demonstrated ability to provide leadership, organize fundraising activities effectively, and participate in high-level customer service support.
4. Excellent verbal and written communication skills, including strong organizational, detail and interpersonal skills.
5. Excellent public speaking skills
6. Experience fundraising and training for and outdoor athletic event, and the ability to train others how to fundraise and how to train to walk in a long-distance event.
7. Demonstrated project management skills, including facility in managing and prioritizing projects with multiple and often competing deadlines, and ability to work under pressure.
8. Proven ability to deliver high-touch customer service and work with customer relations management (CRM) database systems (e.g., keep contact logs, conversation notes, and implement follow-up flags).
9. Ability to work independently, to work under supervision, and to work in a team-based and goal-oriented environment.
10. Skilled with the PC and Microsoft Office, specifically Word and Excel.
11. Ability to maintain confidentiality.
12. Ability to communicate with employees and other agency contacts in a courteous and professional manner. This includes client interactions with the Avon Foundation and its affiliates.
13. Ability to maintain and adhere to schedules.
14. Ability to present oral and written reports.
15. Ability to use considerable judgment and initiative required to establish work procedures.
16. Ability to make decisions in accordance with established policies and procedures.
17. Ability to work evening and weekend hours.
18. Ability to actively participate in the logistical and operational tasks of the actual Event, as well as pre- and post-Event activities.
19. All employees must be able to work the Avon Walk for Breast Cancer events which means a 7 day commitment per event. Employees may work a minimum of 3 events.
20. Ability to work the 2 day Avon Walk for Breast Cancer event with a week long preparation period entailing strenuous physical activity with possible continuous lifting of up to 50 pounds. Ability to stand for 16 hours daily over the course of the event. Ability to work at varied hours; event preparation can entail early morning and late night activity.
21. Local and national travel required.

Additional Qualifications:

Bachelor’s degree preferred. Proven success in customer relationship management. Experience in special events for not-for-profit institutions or charitable causes. Direct, personal experience with fundraising programs, as well as long-distance walking and physical training programs. Strong experience in organizing, coordinating, and motivating groups of event participants, and volunteers. Familiarity with CRM programs.
