Description:
The Assistant Director is an exempt managerial position, in which the exercise of significant independence of judgment and exceptional interpersonal skills are required. The Assistant Director supervises the kitchen and facilities staff and focuses on the overall daily operations of the kitchen and facilities. Also, functions as part of the shelter’s senior management team to support 24/7 operations of the shelter. The Assistant Director serves as the liaison with interns.
Additionally, the Assistant Director provides quality assurance and back-up support to the Director, functioning as Director in his or her absence, and will assist with policy, grant and contract reporting and resource development activities. Significant early evening work is required along with reliable transportation and the ability to serve as essential personnel (including occasional overnights) during weather and similar emergencies.
PRINCIPAL ACCOUNTABILITIES
Administrative
1. Collect and manage all necessary data related to contracts and grants.
2. Serve as point person for HMIS operations.
3. Identify staff needs and community resources to set-up in-service trainings for Shelter staff.
4. Insure that staff performs timely and thorough intakes as well as appropriate length of stay, discharge, and appeal determinations.
5. Participate in weekly clinical case staffings along with deployed personnel
Operations and Personnel
6. Serve as a member Shelter’s Senior Management team, second in line on the Shelter’s Chain of Command for decisions as needed.
7. Work collaboratively with Director and Residential Services Manager to manage continuity of shelter operations during weather and other emergencies.
8. Assist the Director as needed in the development and maintenance of an operations manual including updating and revision of policies as necessary including emergency procedures, health and safety measures, housekeeping and maintenance procedures, resident rules and guidelines, case management services, quality assurance tools, intake and discharge procedures, and other policies as needed.
9. Manage direct report time-sheets, review and forward to Director in a routine and timely manner.
10. Ensure direct reports compliance with Reston Interfaith and Shelter policies and procedures. Document and address strengths and weaknesses in timely manner. Perform job evaluations on all direct reports; provide information and coordinate training required to support service delivery.
11. Facilitate staff meetings for direct reports and attend trainings as directed.
12. Develop and support communication between direct reports, case management staff and between shifts. Keep Director informed of any kitchen, facilities and administrative issues.
Quality Assurance and Community Outreach
13. Responsible to develop or supervise development of resident satisfaction surveys and reporting results to Shelter Director.
14. Manage and coordinate shelter’s Management Team Meetings.
15. Serve as primary administrator for HMIS and other shelter statistical tools, including spreadsheets, as directed. Work closely with intake coordinator on data entry.
16. Conduct tours and briefings for community members, at the request of the Shelter Director or CEO/Executive Director.
17. Attend community activities and meetings as directed to maintain strong relations with the community, and assist the Director in providing staff support to the Shelter Support Committee (a program of Reston Interfaith’s Advisory, Action and Resource Council).
SUPERVISION GIVEN/RECEIVED
This position reports directly to the Shelter Director. This position directly supervises the kitchen and facilities staff and all interns.

Additional Qualifications:
The successful candidate must possess a Master’s degree in social work, or a related field with at least two years of supervisory experience, or a Bachelor’s degree plus a minimum of five years progressive management experience in a shelter environment. Demonstrated ability to supervise professional and paraprofessional employees in a human services environment is a must. Experience and familiarity with residential housing a plus. Significant experience with the unique needs of homeless individuals and families is required. Must be able to make independent decisions regarding day-to-day operations.
Demonstrated experience with word processing and basic spreadsheets required; experience with client databases a plus. Experience with Excel a must. Reliable transportation and ability to commute to work during a regular snow is required. Criminal, CPS, DMV background checks and TB Tests required. Knowledge of services and programs available in Fairfax County a plus. Patience, persistence, and concern for the welfare and potential rehabilitation of each homeless individual a must.
