2011 Idealist Grad Fairs shipping for exhibitors


This page contains shipping information and address labels for each of the 2011 Idealist Grad Fairs. Please read and follow instructions carefully as they may vary per city.

GENERAL REMINDERS

  • Due to space availability, host schools will only accept packages for a certain period of time. We have indicated receiving dates for each fair - packages delivered before and after these dates will be refused.
  • Some venues will charge a fee to receive and handle packages prior to the event. After reviewing the rates, complete and fax the necessary forms. Idealist is not responsible for shipping fees.
    • If you prefer not to incur charges, we suggest shipping packages to your hotel instead.
  • We suggest travelling with extra materials as, on the rare occasion, a package or two can get lost in the mail. Idealist is not responsible for lost materials.
  • If you plan on sending materials back to your school after the fair, come prepared with payment information - either a courier account or credit card number.

NEW YORK | September 15

  • The Metropolitan Pavilion will charge a fee for receiving and handling packages for this fair.

Shipping and handling fees

  • up to 20 lbs. per box = $7 per box, per day
  • 20 to 40 lbs. per box = $14 per box, per day
  • 40 lbs. or more per box = $21 per box, per day

Before mailing your packages

  1. Fill out a storage and shipment form
    • Address the boxes to Debbie Hernanden and label them as packages for the Idealist fair to ensure they make it to the right room and floor
    • Event Room: North and South Pavilion
    • Production Coordinator: Debbie Hernanden / Chris Machuca
  2. Fill out a credit card authorizatin form

Washington, DC | September 16

Ann Arbor | October 3

Additional information specific to this fair

  • Receiving packages between Sept 23 and Oct 1. Packages should arrive no later than October 1st to ensure that they are available for the fair. There will be extra charges for packages arriving the day of the event, and Idealist and University of Michigan cannot guarantee delivery by the start of the event.
  • In addition to filling out your preferred couriers's shipping form, please print and attach this address label to your package/s.
  • The UPS store will receive packages for the Idealist.org Ann Arbor fair (Oct. 3rd) at our location and deliver them to the event site on the day of the event.
  • Please fax this form to the UPS Store prior to shipping.
  • All packages must be marked with the name of the organization attending the event.
  • The charge is $20 per package. Payment arrangements are required before the package can be delivered to the event.

Please note: The UPS Stores are independently owned franchises. Its services cannot be charged to a UPS account.

Additional Services After Event Ends

The UPS Store picks up packages and returns them to our store for pick up by UPS/FedEX on your account (keep your tracking number). We will not have account information or labels available for outbound shipping. Please bring pre-addressed labels and account information to utilize this service.
