Shipping instructions

This page will be updated in early summer with city-specific shipping information for the 2016 fair season. You will receive ample email notifications from Idealist once this information has been published.


  • We suggest traveling with extra materials as, on the rare occasion, a package or two can get lost in the mail. Idealist and the venues are not responsible for lost materials.
  • Due to space limitations, host schools will only accept packages 3 business days before each fair. We have indicated specific receiving dates for each fair - packages delivered before and after these dates will be refused.
  • There is a charge to receive and hold packages for the Washington DC and LA fairs. After reviewing the rates, complete and fax the necessary forms indicated in the shipping instructions. Idealist is not responsible for shipping fees. If you prefer not to incur charges, we suggest shipping packages to your hotel instead.
  • We are not accepting packages at the San Francisco fair. We apologize for the inconvenience.
  • Please make sure your packages are clearly labeled with your school name and that they are for the Idealist Grad Fair. Use the print-ready labels we've created for each fair or attach a business card.
  • If you plan on sending materials back to your school after the fair, come prepared with payment information - either a courier account or credit card number.
