What we need:
The United Way of Greater Williamsburg is looking for a Data Architect to develop a comprehensive understanding of the CRC's documents needs, document flows, file organization and retention. The function should review the existing data structure and business needs within our CRC, translating those demands into electronic document system architecture and design specifications. The Data Architect will examine existing technology, interface with internal customers and external vendors, and develop technical improvements that will ultimately streamline documents production and eliminate hard-copy file product within the CRC.
We need the candidate to develop an understanding of current implementations of applications; map data flow to existing applications; define technical solutions based on those requirements; develop a naming and cataloging control process for client information; determine if existing systems provide appropriate capabilities, or, if appropriate, identify affordable third party document control software; create and document a migration path for existing processes and applications to existing or acquired document software in order to seamlessly transition to an improved, reliable client document system; all while identifying potential design, capacity, procedural and implementation related issues.
Translation:
We need someone to determine the needs, assess currently owned/procured software and hardware, and design a practicable solution to digitize the CRC's paper files and create a client document system compatible with the HMIS software that is self-sustaining, user friendly and secure.

About us:
In 1887, a group of concerned citizens (as a response to the need for addressing the welfare issues facing the city of Denver, Co) organized a charitable united campaign among ten health and welfare agencies. The citizens themselves served as the agents to collect monies and coordinate relief services for the city. Fast forward 100-plus years later and you will see that not much has changed. The United Way is still a group of concerned citizens who organize campaigns and distribute money and aid to address the social justice/welfare issues facing their hometowns.
Background:
The Community Resource Center ("CRC") of the United Way of Greater Williamsburg provides outreach support and assistance services as a one-stop shop for those in need in the Williamsburg area. Whether they need food, clothes, financial assistance or other human service needs, the CRC offers referral and direct assistance to 400-500 families monthly in Greater Williamsburg. The CRC works in cooperation with social services, faith-based and other organizations to help meet the needs of those in the area.
Client data is entered into an HMIS system database provided by subscription to the Virginia Planning Council (see description following) while required personal information is photo-copied (driver's license or other identification, paystubs or other financial information, vendor disconnect notices, etc.) and placed in traditional file folders. The existing online data program does allow for posting of scanned documents to the on-line system, however, the CRC does not have an electronic control systems for naming, posting and retention control of such data.
