Internship description

The Organization

MISSION: To promote all genres of music through performance, education, seminars, workshops and showcases.

The International Music and Entertainment Association (IMEA) is a non-profit organization dedicated to helping musicians and charities through music.

Our goal is to promote and recognize new and established artists, bands, musicians, and songwriters through musical showcases, workshops, competitions, publications, fund raisers, and an annual awards show.

We work with other public charities on fundraisers including, but not limited to: Autism Speaks, Cystic Fibrosis Foundation, Juvenile Diabetes Foundation, Alzheimer's Association, and St. Jude's Childrens Hospital.

Summary of Position

As a volunteer/internship personal assistant, you will be responsible for helping the President of IMEA with most aspects of the organization as well as helping with some personal aspects of home life. This position provides the main administrative and secretarial support to the President/CEO of IMEA. The position plays a vital role for the organization, liaising and coordinating with external agencies as well as across all programs internally. The position is a telecommuting (virtual) opportunity, and reports to the President/CEO of IMEA, liaising closely with other volunteer members of staff, as appropriate.

College Credit will is a must for this position.

IMEA's CEO/President is very active in other areas as well including; singing/performing, acting, directing musicals, being involved in Arts organizations, etc. which require meetings, schedules, etc. He also works for two record companies as Director of Publicity and VP. Very Busy schedule.

CEO/President's office is located in Cave Spring, Georgia. In-person Internship is desired, however virtual assistnat would be okay as well.

Responsibilities

  • Provide full administrative support to the President/CEO, including maintaining the President/CEO's schedule
  • Prepare travel arrangements, relevant documentation (tickets, visas etc.) and any necessary travel materials (meeting confirmations, background or reference confirmations)
  • Prepare agendas and coordinate IMEA's quarterly staff meetings
  • Receive Quarterly Management Reports from each Program, extract relevant information and forward it as appropriate
  • Assist the President/CEO with research, often web-based, to assist current and potential projects
  • Draft and edit correspondence, memoranda, reports, and proposals
  • Take notes on few special occasions
  • Reconcile, prepare and submit appropriate paperwork for financial transactions (e.g. credit card expenses, travel advances, check requests) for the President/CEO
  • Maintain accurate information held on database for President/CEO
  • Manage MS Outlook activities, including email, contacts and tasks
  • Assist with logistics and preparations for special projects such as staff and Board Meetings
  • Research vendors for best value, ie. shipping companies, etc.
  • Scheduling teleconferencing calls
  • General administrative tasks, including filing, faxing and answering phones
  • Stay abreast of new and current activities of the organization and its various programs
  • Share in the continuing development of the organization, its mission and its staff, through the sharing of experience and knowledge.

As job descriptions cannot be exhaustive, the position-holder may be required to undertake other duties that are broadly in line with the above key responsibilities.

Minimum Qualifications

COLLEGE STUDENTS ABLE TO RECEIVE COLLEGE CREDIT IS A MUST!

Essential:

  • Highly organized with excellent attention to detail
  • Excellent interpersonal and communication skills, both written and oral
  • Team-player and positive personality
  • Ability to handle multiple tasks simultaneously and tight deadlines
  • Computer literacy proficiency, including solid working knowledge of Microsoft Office applications, Outlook, Excel, PowerPoint; and using the Internet for research
  • Working knowledge of mail processes such as postage machine, FedEx and UPS
  • Native language English
  • Professional appearance
  • Proactive and ability to work independently
  • Ability to identify and solve problems on an immediate basis
  • Highly motivated and energetic, with an alert and positive customer service attitude a must
  • Excellent phone etiquette with proper use of grammar and positive phone voice
  • Punctual, reliable and dependable

Desirable:

  • Experience working in a non-profit, start-up or similar environment (but not absolutely necessary, especially if student or other looking to gain relevant work experience)
