We are currently recruiting for the CES Registration Manager. This is a full-time, exempt position. This position will be housed at one of our locations in Boston, Middleboro, Waltham or North Andover.
The CES Registration Manager implements, coordinates, and oversees all registration activities associated with the Council Enterprise System (CES). Includes, but not limited to: supervising the CES Database Registrars, working with all staff to utilize CES to its maximum potential, working with GSUSA to identify areas of improvement, developing CES training curriculum and conducting training sessions for staff and volunteers.
EBiz/CES Implementation
- Key member of CORE CES Boot Camp Team-attend and participate all CES planning and implementation meetings/calls
- Prepare all registration materials necessary for training and/or testing new functionality
- Define/implement Quality Control processes and procedures
- Define new troop number standards and procedures needed for CES and pathways
CES Training
- Prepare and maintain training curriculum and materials for CES "Admin" training
- Conduct CES Admin training sessions for core registrars
- Conduct CES Admin training for backup registrars and other Admin personnel
- Conduct on-going CES Admin training as needed
- Trains and assist administrative volunteers who perform the data entry of girl, adult and troop membership registrations
CES/Ongoing management
- Oversee Batch Receipt Control processes and prepare batches for posting to Finance
- Field questions/concerns from registrars, other staff , and volunteers
- Help identify "open issues" or "loopholes" as they crop-up pertaining to CES
- Monitor accuracy of registrars entering registration data into Production
- Recruit, select and train new regular and temporary CES Admin personnel as needed
- Travel to the other service centers when necessary
- Resolve new CES questions and issues as they arise
- Work with the appropriate departments/personnel when necessary to define/resolve CES issues
- Conduct weekly quality control functions
- Provide Membership status to management/other departments as need
- Plan, coordinate and oversee seasonal projects (spring re-registrations, Ultimate Guide, etc.)
- Manage and oversee CES Help Desk activity and responses
Registrar Oversight Responsibilities
- Reconcile registrations to payments
- Resolve any registration discrepancies
- Provide exceptional customer service to all members and volunteers; assists with any questions and issues involving registrations.
- Audit Volunteer data entry to actual dues and forms
- Produce various membership and activity reports
- Prepare all registrations for input to CES (Batch Control Receipt Form)
- Data enter registrations into CES
- Maintain orderly files
- Conduct weekly status call with registrars and admin staff
- Work with Membership personnel for spring and fall membership drives
- Process Lifetime registrations
- Process and report on Financial Aid requests to membership for approval
Skills and Qualifications
- Bachelor's degree (or equivalent experience) in related field
- Five years of previous database experience preferred
- Proficient in the use of Microsoft Windows and Office software
- Prior experience supervising and motivating staff
- Exceptional time management capability to handle multiple tasks and deadlines
- Ability to work independently and with limited supervision
- Ability to maintain a high degree of confidentiality
- Excellent communication, troubleshooting, and customer service skills, both orally and in writing
- Ability to organize and prioritize job demands while remaining flexible and able to adapt to organizational changes and emerging priorities.
- Self-motivated and willing to learn new skills
- Ability to perform data entry with a high degree of accuracy
- Ability to work a flexible schedule including some evenings and weekends
- Must possess a driver's license and have access to vehicle for travel between primary work site and other office locations.
