AGENCY: The mission of Middlesex Human Service Agency, Inc. is to improve the quality of life and independent functioning of a wide variety of clients through the delivery of an extensive system of community-based substance abuse and social service programs. MHSA, Inc. currently operates 7 different programs in Boston and Metro Boston and is proud to continue to expand its scope of services.

PROGRAM: Middlesex Human Service Agency's Scattered Site program is a State-funded emergency family homeless shelter program based out of Dorchester, Massachusetts. With 108 emergency shelter units located throughout Boston, the Scattered Site program provides intensive case management and stabilization services to both current residents and former residents placed out of the program into permanent, short-term and transitional housing programs. Staff at the Scattered Site program are responsible for an extremely wide range of functions, including housing stabilization, case management, crisis intervention, landlord mediation and more.

Job Title: Part Time Receptionist / Clerical Worker (25 hours / week)

Reports to: Program Director/Assistant Program Director

Scope: To provide coverage of the Scattered Site and Stabilization programs' front reception desk, including answering phones, taking messages, notifying Case Managers and other staff of clients/visitors, answering general questions and directing callers and walk-ins to appropriate resources. Responsibilities will also include various administrative/clerical duties, as requested by supervisors, Case Managers, Facilities Managers and/or Administrative Assistant, including (but not limited to): updating, filing and distributing forms, data-entry, sending/receiving faxes, sending/receiving emails, receiving deliveries and reviewing employee timesheets and associated cover sheets.

Responsibilities:

  • Demonstrate excellent customer service while interacting with a diverse clientele
  • Answer telephones, direct phone calls and take messages for program staff
  • Send faxes, prepare mailings, accept deliveries and perform various other clerical duties, as needed
  • Exhibit sensitivity towards clients, visitors and other individuals who may call or visit the office during a time of crisis
  • Exhibit accuracy and attention to detail while conducting data-entry
  • Perform various computer-related duties, such as utilizing/updating spreadsheets, writing/receiving emails, updating the Efforts to Outcomes (ETO) system, writing word-processing documents, conducting online research, etc.
  • Exercise basic knowledge of Agency and program policies/procedures

Requirements/Qualifications:

  • High school diploma or GED
  • Bi-lingual: English/Spanish
  • Superior customer service skills
  • Ability to maintain client confidentiality at all times
  • Excellent written/verbal communication skills
  • Computer experience, including word processing, email and spreadsheets
  • Ability to work as part of a dynamic team
  • Ability to manage multiple tasks while working with a diverse population
  • CPR/First Aid certified (training can be arranged)
