Position: MEDICAL CLINIC MANAGER

Reports to: Associate Medical Director

Status: Regular, Full-Time, Exempt

BACKGROUND: The Indian Health Center of Santa Clara Valley is a 501(c)3, nonprofit, community health clinic, located in San Jose, California. We serve people from all walks of life, regardless of race, creed, color, religion, sex, sexual orientation or disability and take pride in serving our diverse patients and clients. Besides having a highly talented medical and dental department, the Indian Health Center also has an outstanding counseling department, community wellness center and WIC (Women Infants and Children) department.

POSITION SUMMARY: This high-level operational and administrative role reports to the Medical Director of the agency and includes supervising and training staff; overseeing and improving medical, data, and staffing procedures; overseeing quality improvement; overseeing revenue collections with a thorough understanding of third party reimbursements; and providing support to medical providers.

DUTIES AND RESPONSIBILITIES:

  • Supervise and provide direction for the following staff positions:

Leading the team includes communicating and ensuring adherence to the agency values, policies, and procedures; implementing recruitment, orientation, training, coaching, counseling, and communication programs; planning, monitoring, appraising, and reviewing job contributions; reviewing compensation strategies.

  2. Referral Coordinator
  3. Medical Data Entry Coordinator
  4. Medical Records
  5. American Indian/Alaska Native (AI/AN) Patient Relations staff and oversee strategies to increase the use of medical services by the AI/AN community
  • Works closely with clinic providers and specialists to provide comprehensive health care to patients
  • Directs medical department operational strategies including preparing critical measurements and analyzing trends; implementing production, productivity, quality, and customer-service strategies; developing and implementing new or revised procedures, policies, and programs; and analyzing department data flow and processing effectiveness
  • Oversee revenues by developing and implementing collection systems; analyzing and evaluating the admitting and information-gathering processes; monitoring managed care, third party reimbursement, and accounts receivable management, including bad debt and cash collections; adhering to and anticipating changes in Federal and State reimbursement regulations
  • Provides information by preparing and analyzing statistical, operational, and other reports for management; participating in meetings to receive and disseminate information and direction; ensuring that patients receive the information they need to maximize their health care benefits
  • Protects and safeguards patient information and confidentiality by designing systems to control the accuracy and security of patient record information, including data entry and processing, storage, retrieval, and archiving functions
  • Demonstrate commitment to the team, flexibility, professional interpersonal communication, critical thinking and customer service skills
  • Active involvement and leadership role assigned projects and committees
  • Active involvement and leadership in Quality Improvement projects
  • Assists in addressing patients issues and complaints
  • Maintains high quality customer service at all times
  • Other duties as assigned

PHYSICAL REQUIREMENTS:

  • Ability to sit, stand and work for extensive periods of time
  • Manual and finger dexterity and eye-hand coordination for daily computer entry/supervisory needs
  • Ability to lift up to 25 pounds
  • Ability to stoop, squat, or bend frequently
  • Corrected vision and hearing within normal range to observe and communicate with patients and professional staff

WORKING CONDITIONS:

Exposure to all patient elements, including communicable disease and blood borne pathogens..Will be working in a fast paced medical environment which can be stressful and constantly changing conditions Will need to be able to walk, stoop, bend and lift up to 25 lbs. Working hours will vary depending upon need.

REQUIRED QUALIFICATIONS, KNOWLEDGE AND ABILITIES:

Qualified candidates will have the passion to work in a community health clinic setting and possess the following skills:

  • 5 or more years of experience in the medical field
  • 4 or more years of experience in managing medical office or clinic teams
  • Possession of Masters degree in Healthcare Administration or similar degree preferred
  • Ability to communicate effectively and fluently in English; Spanish language skills preferred
  • Experience using and analyzing medical software packages and data systems
  • Excellent customer service and supervisory/management skills required
  • Strong customer and results orientation. Ability to interact with individuals from diverse backgrounds (e.g. culture, education, profession)
  • Ability to prepare and write reports
  • Ability to establish and maintain professional relationships with outside medical institutions (i.e., pharmacies, hospitals, ERs, etc.)
  • Demonstrate ability to perform multiple administrative functions simultaneously in an accurate, organized, and efficient manner
  • Knowledge of office systems. Computer literacy and knowledge of Windows environment and popular software (e.g., Microsoft Office Suite and EHR systems)
  • Flexibility, initiative, reliability, and creativity
  • Possession of a valid California Driver License, automobile insurance, and a clean driving record
  • Ability to maintain strict confidentiality
