Overview: About Public Prep
The Public Prep Network is a nonprofit organization that develops single-sex elementary and middle public schools that pursue excellence through continuous learning and data-driven instruction. Our model is designed to empower each student to build strong character, demonstrate critical thinking, possess a core body of knowledge and be on a predictive path to earn a degree from a four-year university.
Public Prep is currently comprised of three tuition-free, all-girls charter schools centered on the core values of Scholarship, Merit, Community, and Responsibility.
Girls Prep Lower East Side Elementary, the first all-girls charter school in New York City and the inaugural school in our network, was launched in 2005 and serves 325 students in grades K-4. Girls Prep Lower East Side Middle School and Girls Prep Bronx Elementary School launched in 2009 and are both completing their fourth years of operation. Girls Prep Lower East Side Middle School serves 225 students in grades 5-8th. Girls Prep Bronx serves 375 students in grades K-4 and will serve 450 students in grades K-5 beginning in the fall of 2013.
Both Girls Prep Bronx Middle School and Boys Prep Elementary School will launch in the fall of 2014.
Joining our team at Public Prep
Public Prep is seeking a Director of Operations to join one of our school leadership teams beginning in July 2013.
The Director of Operations is critical to the successful and efficient operation of Public Prep's schools. The Director of Operations implements and maintains clear systems that allow the Principal and teachers to focus on instruction and working with students, colleagues, and families.
The Director of Operations will report to the Principal and work closely with Public Prep, the charter management organization. He/she will manage the school's office team, including an Office Manager, Administrative Assistant and School Aides. He/she will be a member of the school's leadership team and collaborate with Directors of Operations at other Public Prep schools.
The Director of Operations will oversee the operations and finance at the school and act as the primary school interface with the Public Prep.
Primary responsibilities include:
Finance and Purchasing
- Assist Principal and Public Prep's Director of Finance in creating and managing the school's budget and finances
- Maintain accurate records of all financial transactions (deposits, transfers, reimbursements, bill payments)
- Monitor usage of school credit card
- Coordinate tax reporting to contractors
- Participate in annual financial audit process
- Ensure adherence to network's fiscal policies and procedures
- Oversee school-based purchasing by placing orders with vendors, tracking deliveries, and maintaining inventory
Management
- Supervise the Office Manager and help address general office and administrative needs
- Ensure the smooth operation of the main office, including mailings, attendance reporting, machine maintenance, etc.
- Serve on the school's leadership team
Logistics and Facilities
- Prepare school for new school year, including but not limited to, ordering furniture and equipment, curriculum, and classroom supplies
- Ensure student food services are ready for start of school
- Plan and coordinate logistics for school events and activities, including, but not limited to, advocacy, concerts, and recruitment tours and information sessions
- Manage and oversee the school's facilities and physical condition
- Participate in building meetings pertaining to facilities and safety; work with the Principal to implement changes as needed
Technology
- Oversee the purchasing and maintenance of technology equipment
- Implement technology training in conjunction with Public Prep
- Act as first level of response for technology and troubleshooting
Reporting
- Coordinate with Public Prep with regard to all data analysis and reporting to the school's authorizers, NYC Department of Education, NYSED, and federal government
Compliance
- With the assistance of Public Prep Director of Human Resources and Director of Operations and School Support, ensure school-wide compliance with health and safety laws, teacher certification and fingerprinting, city and state education mandates, and all federal and state workplace regulations
Human Resources
- Coordinate with Public Prep Director of Human Resources to ensure school-based employees receive timely and accurate payroll and benefits
- Process new hires and maintain employee records
Student Recruitment and External Relations
- With support from Public Prep Student Recruitment and Advocacy Associate, manage school-based student recruitment efforts, applications, enrollment, and waitlist
- Help coordinate and act as a point person in hosting visitors for school tours
The ideal candidate will have:
- A Bachelor's degree from an accredited college or university
- Master's degree; MBA in nonprofit management or MPA preferred
- Minimum 4 years of demonstrated success in the workplace
- At least 2 years of demonstrated success managing a small team or multiple large projects
- Strong project management skills, ability to handle multiple priorities, and detail-oriented
- High level of comfort with financial oversight and budgetary tracking
- Strong analytical and problem solving skills
- Ability to think and act strategically
- Team player with strong interpersonal skills
- Proficient in Microsoft Office and familiarity with Quick Books
- Demonstrated passion and commitment to the Public Prep mission
- Maturity, humility, strong work ethic, and a roll-up-my-sleeves mentality
