Finance Director

Description

The duties of the WorldTeach Finance Director are to support the financial well-being of the organization and include, but are not limited to, the following:

  1. Organizational Budget.
  2. Annual Audit.
  3. Organizational and Volunteer Insurance.
  4. Payroll Administration
  5. Income, Expense and Account Reconciliation
  6. Oversight of field finances in 17 countries

This is senior position within WorldTeach that will require a high level of responsibility, initiative, discipline and trustworthiness. This position reports to the Executive Director, and works closely with Program Directors, Director of Admissions and Recruiting, Program Managers, Work-Study Staff, Field Staff.

This is a full-time, exempt position.

Specific Duties Include:

1. Budget

Work with the Executive Director to prepare the Annual Budget

Work with Field Directors to review and refine Program budgets

Assist Treasurer of Board of Trustees with review of proposed budget

Prepare monthly and end of the year BVA (Budget Variance Analysis) for presentation to the Treasurer of the Board and Board of Trustees

2. Annual Audit:

Prepare quarterly reconciliations of major balance sheet accounts

Convert cash accounting to accrual at year-end

Prepare for the annual audit necessary for our accounts to file our Form 990

Assist the auditors during audit preparation and fieldwork

Ensure the organization is up to date with internal controls and policy requirements

3. Insurance

Review and update General Liability Insurance policies, both domestic and foreign

Perform annual Workers' Compensation audit

Oversee enrollment and termination of Tufts Health Insurance and Principal Dental Insurance for new and departing employees

Work with the Executive Director to identify and contract with the Travel Medical Insurance for the volunteers and staff in the field

Oversee enrollment and termination of health and emergency evacuation insurance for all WorldTeach volunteers.

4. Payroll and Payroll Admin

Report bi-weekly payroll to payroll administrator

Record and implement any changes or adjustments to the payroll

Distribute paychecks to the staff in Cambridge and in the field as necessary

Do year-end payroll reconciliation

Prepare Form 1099s for volunteers participating in WorldTeach administered programs

File appropriate 1096s

Distribute W2s

5. Expenses

Prepare and /or review check requests

Pay bills and write checks, send wire transfers, reconcile monthly credit card bill

Review outgoing checks with Executive Director as required

6. Income

Receive all payments from volunteers: prepare and enter deposits

Receive all donations from any sources; categorize properly and prepare and enter deposits

Reconcile credit card payments semimonthly

Record and track all government/partner payments, collaborating with Field Staff to prepare invoices and ensure prompt payment

Answer questions from volunteers and their donors about financial issues

Reconcile volunteer accounts with the Quickbooks

Recognize program fee revenue after departure of a program and issue refunds when appropriate

Record and reconcile all restricted income

7. Account Reconciliations and Field Finances

Monthly receipt, review, and recording of all Field Finance Reports

Monthly reconciliation of all cash accounts: foreign and domestic

Monthly reconciliation of selected Balance Sheet accounts: Petty Cash, Advances, etc

Track expenses vs budget in the field on a monthly basis.

Quarterly reconciliation of all Balance sheet accounts and selected Income accounts (volunteer fee revenue, Government Payments, and Investment Accounts)

Any additional reconciliations associated with the annual audit

8. Other

Collaborate with Executive Director on fundraising opportunities, including annual appeal

Over see volunteer travel arrangements by supervising staff member responsible for booking travel

Continually update Field Director Finance Training Manual and work with Field Staff to ensure Monthly Finance Reports are understood and prepared correctly

Take regular shift as Administrator on Duty for field emergencies

Other duties as assigned by the Executive Director

Qualifications

BA; accounting degree preferred

Proficient in Microsoft Office

Preferred proficient in QuickBooks

Experience in nonprofit accounting preferred

WorldTeach experience a plus

Compensation

Commensurate with experience
