Serves as the Executive Assistant to the Chief of Staff. Assists in the management of internal communications efforts as well as some stakeholder communications efforts. Serves as National Trust Advisor Liaison in the Office of the President.
Supports the National Trust Advisors program daily needs, handles logistics for Advisors meetings and helps plan engagement strategy for the program. Provides administrative assistance to the Chief of Staff and to the President (on an as needed basis). Edits weekly staff e-newsletter, as well as monthly stakeholder e-newsletters (Trustee and Advisor).
Duties
- Assist in managing internal and some stakeholder communications
- Serve as liaison to the National Trust Advisors
- Provide administrative support to the Chief of Staff, including scheduling
- Assist the Chief of Staff in coordinating Trustwide projects
- Assist in planning of Leadership Team meetings
- Assist in planning of Executive Team meetings
- Serve as editor of weekly staff and stakeholder e-newsletters
- Help plan National Trust Advisor meetings and events, provide support at each meeting through logistical and administrative assistance, perform advance work as needed
- Responsible for production and/or distribution of publications and materials related to the National Trust Advisors and their meetings
Qualifications
- 1-3 years of administrative experience required, preferably in a public relations, internal communications or public affairs related setting, and including experience in office management, meeting coordination, and scheduling. Ability to assess office needs and organize systems.
- Strong verbal communication skills and excellent writing, editing and grammar skills, with experience assisting in the preparation of high quality presentation materials, as well as drafting original material, and editing the work of others, for newsletter- and social media-style communications.
- Ability to prioritize, multi-task efficiently and respond to a high volume of ongoing requests in a timely fashion, with ability to adapt and be flexible in a dynamic work environment.
- Demonstrated experience interacting effectively with high level stakeholders and the public.
- Must be highly motivated, dependable, organized, comfortable working in a team setting, and a conscientious self-starter.
- Basic analytical and problem solving skills, including issue identification and prioritization..
- Basic project-coordination skills, and ability to achieve results with only moderate supervision.
- Excellent attention to detail.
- Experience supporting outreach to and engagement of culturally diverse audiences and partners a plus.
- Demonstrated intermediate to advanced competence in Microsoft Office, specifically, MS Word, Excel, and Power Point, MS Outlook for scheduling and calendar management and MS Publisher for newsletters. Ability to continually develop skills related to use of rapidly changing technology and communications best practices. Familiarity with Sharepoint a plus.
- Bachelor degree (or equivalent related work experience) required, preferably in Journalism, English, Marketing or Communications
