POSITION DESCRIPTION
POSITION TITLE: Volunteer Coordinator
LOCATION: Seattle
REPORTS TO: President & Chief Executive Officer
GENERAL SUMMARY
The Volunteer Coordinator is primarily responsible for the human resource planning, recruiting, selection, training, deployment, management, and recognition of the Alzheimer's Association Western and Central Washington State Chapter's volunteers and serves as the liaison between the volunteers and staff supervision.
ESSENTIAL JOB FUNCTIONS
- Recruits new volunteers through community outreach and free advertising opportunities
- Creates and implements volunteer outreach strategy
- Sends information and applications to prospective volunteers
- Screens applications received, conducts background and reference checks
- Screens potential volunteers to match established needs and criteria and refers those not matching to other sources
- Coordinates development, implementation, and updates as appropriate of Chapter Volunteer Handbook, Application, and Evaluation
- Schedules orientation sessions for new volunteers at least once a quarter, or more often as needed, using Volunteer Handbook as a guide
- Researches and utilizes all free media advertising opportunities to recruit volunteers
- Schedules volunteer activities as appropriate to meet community and Chapter needs
- Works with staff to identify upcoming volunteer needs and opportunities
- Works with staff to ensure updated position descriptions are available for all volunteer positions
- Maintains schedule of volunteers
- Communicates with volunteers and staff in multiple programs and locations
- Provides copies of volunteer applications to staff supervisors for review
- Requests and utilizes feedback from volunteers and staff supervisors to evaluate the effectiveness of volunteer placement
- Coordinates publicity for the volunteer program in collaboration with Director of Marketing & Communications
- Develops and implements volunteer recruitment campaigns throughout year
- Promotes volunteer opportunities with fliers, public announcements, press releases, and other methods as appropriate
- Serves as media contact for volunteer program
- Provides presentations on volunteerism and Alzheimer's Association
- Organizes stewardship program and volunteer recognition events in collaboration with Chapter staff
- Tracks volunteer activities and provides human resources support as needed
- Maintains volunteer database and tracks individual volunteer activities
- Contacts new volunteers no later than 60 days after placement to discuss and evaluate volunteer satisfaction and success
- Completes exit interviews for all departing volunteers
- Ensures that all volunteers are reimbursed for pre-approved expenses
- Participates in community outreach and fund development activities
- Assists in preparation and submits articles as requested for e-news, blog, and social media
- Participates in special events and fund development activities as requested
- Participates in advocacy and public policy activities as requested
MINIMUM REQUIREMENTS
- Two years of experience in a non-profit volunteer coordination or management position
- Bachelor's degree or equivalent experience
- Excellent program management skills, including administrative, computer, and database
- Proficiency with Microsoft Office applications including Word and Excel
- Experience with public speaking
- Ability to communicate effectively in person, in writing, and electronically to a variety of audiences
- Ability to work effectively with volunteers, staff, and external contacts to build and maintain successful teams and committees
- Able to prioritize and manage multiple projects independently and report outcomes effectively
- Ability to work evenings and weekends as needed
- Ability to travel as needed to perform duties of job
- Valid Washington State driver's license, proof of automobile insurance, and a reliable vehicle
- High level of integrity, diplomacy, and initiative
HOURS, SALARY & BENEFITS
Full-time forty (40 hours per week), with periodic evening and weekend responsibilities and willingness to travel throughout the state. Exempt. Salary: Depending on Experience. WORKING CONDITIONS
- Normal office environment as well as extended time out of office recruiting, training, supporting, and recognizing volunteers
- Flexible schedule may involve early mornings, evenings, and occasional weekends
- High volume of public contact with both individuals and groups
- Travel by car to attend meetings within the Chapter territory, and by air or train to attend other meetings
- Work may be stressful during periods of high volume or tight deadlines
