The American Civil Liberties Union of Maryland (ACLU) seeks a dynamic team player to fill the position of Development Associate. The Development Associate is a member of the ACLU of Maryland's fundraising team and is responsible for working with the Director of Philanthropy and ACLU staff to advance the ACLU's broad civil liberties agenda--including racial justice, criminal justice, religious liberty, privacy, reproductive rights, and freedom of expression.
The American Civil Liberties Union of Maryland is a non-profit organization that defends the civil rights and civil liberties of Maryland's citizens through litigation, legislation, and public education.
The ACLU Foundation of Maryland's fundraising program seeks a full-time Development Associate whose primary responsibility will be to coordinate and execute key administrative functions within the Development Department. The Development Associate reports to the Director of Philanthropy.
Responsibilities
Fundraising Responsibilities:
- Develop comprehensive understanding of the major gifts work, which includes recognizing the names of major gift prospects, reviewing donor records for accuracy, creating or editing interaction and tracking reports.
- Process incoming contributions and fundraising correspondence. Enter gift data into donor database. Maintain confidential fundraising information in database with accuracy and integrity. Maintain accurate and retrievable files electronically and in hard copy.
- Work with other office staff to assist with events, including event planning, mailings, onsite coordination, volunteer management, and donor follow up.
- Coordinate mailings to welcome new or 'moved-in' members. Produce and update welcome packets.
- Support Director of Philanthropy as needed in the process of qualifying, cultivating, soliciting and stewarding potential and current donors: research existing and potential donor prospects; create donor profiles for donor meetings; capture meeting notes in electronic database as well as hard copy donor files.
- Manage grant proposal and report filings to foundations. Ultimate responsibility for submission of timely proposals and reports to grant makers. Explore new foundation and organizational funding sources.
- Compile mailing lists and assist with the generation of the end-of-year appeals and other mailings.
- Manage workplace-giving campaigns, including applications.
- Provide general assistance as needed
Fiscal Responsibilities:
- Process contributions into bank accounts, code contributions into the database, and produce donor acknowledgments in timely manner
- Mail union dues/gifts to the national ACLU office.
- Verify the integrity and accuracy of gift information shared between national and affiliate development departments through monthly audits and reconciling discrepancies/errors. Track information transmission processes, identify sources of discrepancies/errors, and develop/implement solutions.
- Generate income reports to submit to the Operations Director
- Assist the Operations Director in reconciling financial information discrepancies with account ledger on a monthly basis
- Prepare and monitor department budget with Director of Philanthropy.
General Development Responsibilities:
- Manage development volunteers.
- Work with the Director of Philanthropy and Communications Director to develop and prepare newsletters, brochures, reports, correspondence and informational and solicitation materials for major gift and campaign activities.
General Administrative:
- Report on a regular basis to the Director of Philanthropy.
- File regular time sheets.
- Produce reports from fundraising database to support other departments, as prescribed by Director of Philanthropy or Executive Director.
- Other responsibilities as assigned by the Director of Philanthropy
Qualifications:
Required
- Strong verbal and writing skills
- Excellent organizational and administrative skills and a track record of successfully providing administrative support.
- Comfortable with various office equipment, including copy machine, fax machine, and computers.
- Strong computer skills including use of the Internet, databases, word processing, mail merges, spreadsheets, e-mail, on-line communication.
- Proficiency in Microsoft programs including Word, Excel and Access.
- Ability to communicate effectively and respectfully on the phone and in person with, board members, volunteers, staff, and the general public.
- Commitment to the confidentiality of donor records and ethical fundraising practices.
- Flexibility to work outside of the regular workweek as needed.
- An understanding of civil liberties and a commitment to the mission of the ACLU.
- Team player with a healthy sense of humor
- Ability to work efficiently in a highly organized fashion with significant attention to detail
- Ability to work in a fast-paced environment
- Ability to take initiative and exercise good judgment, meet deadlines, respond promptly to requests, follow through on initiatives and manage the demands of multiple projects
- Ability to maintain absolute discretion regarding donors and donor records.
Preferred Experience
- College Degree
- Fundraising database experience
- 2 years experience working in a Development office
