About KIPP Bay Area Schools

In the San Francisco Bay Area, five KIPP middle schools and two KIPP high schools are closing the achievement gap between low-income students and their more advantaged peers. In the fall of 2013, a third high school, KIPP San Francisco College Preparatory, will open in San Francisco. These tuition-free, college-preparatory schools are located in the under-served neighborhoods of Bayview Hunters Point and the Western Addition in San Francisco, East San Jose, San Lorenzo, and West Oakland. KIPP Bay Area Schools serves more than 2,500 students.

Position Overview

The Operations Associate supports both operations and human resources departments at the Regional Support Office (RSO) of KIPP Bay Area schools (KBAS). This position reports directly to the Assistant Director of Operations and is accountable to the Assistant Director of Human Resources. The Operations Associate will help ensure that our schools are safe, efficient, well-equipped, and in compliance with government regulations. He/she will also support the sharing and collaboration within the regional Operations Community of Practice. This position is an excellent opportunity for an achievement-oriented individual to work on a broad range of challenging projects. This is a full-time exempt position.

Duties and Responsibilities:

After School Education and Safety (ASES) – 15%

  • Support school-site ASES Coordinators with managing their programs and partnering with community-based organizations
  • Enforce ASES policies/procedures to achieve program goals and comply with grant regulations
  • Manage annual attendance audit, all compliance reporting, and grant renewal applications
  • Prepare schools for site visits from local county offices of education

School program compliance and support – 20%

  • Manage clearance process for volunteers and volunteer/staff drivers
  • Prepare all schools for annual audit by collecting and reviewing documentation from schools
  • Complete and submit school-specific reports required by the CDE

Vendor Management – 20%

  • Manage regional cell phone plan, including reviewing bills and ordering new phones
  • Manage contracts with vendors for office supplies and equipment, janitorial services, telephone landlines, parent-notification systems, and other services
  • Support transition from in-house food service program to district-operated services
  • Support schools with reducing wasted meals and resolving issues with district food service

Operations Community of Practice – 5%

  • Manage the logistics for monthly community of practice meetings
  • Contribute updates, action items, and other information relevant in the weekly operations email
  • Support knowledge management efforts within the department

Human Resources Compliance – 40%

  • Support Assistant Director of HR with updating the following clearances:
    • Teaching credentials on file with the California Commission on Teacher Credentialing
    • Fingerprinting clearances from Department of Justice for teachers and volunteers
    • Tuberculosis clearances for teachers and volunteers
    • Annual online compliance trainings on SafeSchools system, including AB1825 Sexual Harassment training and OSHA safety trainings
    • Prepare substantiating personnel documents for payroll reports twice monthly
    • Prepare personnel files for newly hired employees

Skills and Qualifications

  • Bachelor's degree required
  • 1-2 years of work experience strongly preferred
  • Ability to self-direct and prioritize among competing goals
    • Comfort with multi-tasking and working in a fast-paced, entrepreneurial environment
    • Demonstrated ability to work well with others and build relationships across teams
    • Strong achievement orientation with exceptional time management skills
