Overview:
The New York Transit Museum, located inside a decommissioned subway station on the corner
of Boerum Place and Schermerhorn Street in Downtown Brooklyn, is a popular destination for
summer day camps in the New York metropolitan area, serving 4,000+ children during seven weeks of
summer programming. We strive to make each group's visit memorable and fun.
The Museum is seeking a highly organized and energetic professional to coordinate all camp and special needs group reservations for the summer season: scheduling all visits, communicating with group leaders, managing a detailed reservation process, sending and receiving visit confirmations, maintaining careful records, tracking and relaying important information, and compiling statistics and reports. The Reservations Coordinator is essential to the day-to-day operations of the Education Department.
Commitment:This is a 3-month position: May 20 – August 21, 2013, with the possibility of extending.
Schedule:24 hours per week:
Week 1, May 20 – May 23: Monday – Thursday
9:30 AM – 4:00 PM
Beginning May 28 through August 21: Tuesday – Friday
9:30 AM – 4:00 PM
Compensation:$16 per hour
Responsibilities:
·Efficiently manage all aspects of camp and special needs group reservations.
·Communicate with group leaders via phone and email to schedule visits, gather detailed information, respond to questions, and clearly confirm important reservation policies.
·Oversee all correspondence related to group visits, including sending and tracking Reservation Agreements.
·Maintain careful and detailed records of group visit information in Museum database (TM VISTA).
·Consolidate reservation information each week, such that the Education Department can plan and schedule staff for the upcoming week. Meet weekly to review and confirm information.
·Provide daily oversight of visit schedule, notifying Education staff of last-minute changes, cancellations, and late arrivals.
·Compile statistics and prepare monthly visitation report.
·Attend Education Department meetings and training sessions, as requested.
·Provide additional support for the Education Department, as needed.
Qualifications and Skills:
·Exceptional communication skills, including a patient, polite, and professional phone manner and the ability to communicate information clearly and concisely.
·Conscientious, highly organized, and detail-oriented.
·Possessing a flexible and positive attitude, and the ability to accept supervision and direction.
·Accuracy and efficiency.
·Related administrative experience required; scheduling experience in an environment similar to the Transit Museum a plus.
·Proficiency with Word and Excel. Familiarity with TM VISTA system is a plus.
