Function and Scope:
Provide high-level assistance to Senior Vice President of Membership, HR and Operations and Senior Vice President of Digital Strategy with all administrative functions including managing calendars, arranging travel, processing expenses, managing logistics, and responding to internal and external inquires to the SVPs offices. This position will report approximately 50% of time to each SVP. The ideal candidate will possess a high-level of professionalism, excellent communication and organizational skills and the ability to adapt to changing environments.
Major Duties and Responsibilities:
- Facilitate planning of a variety of divisional meetings and prepare agendas when needed
- Coordinate meetings with members and other groups
- Arrange meeting logistics, including requests for A/V equipment and catering, as needed
- Manage Senior Vice Presidents' calendar by maintaining and updating Outlook
- Arrange travel for Senior Vice Presidents, including but not limited to, transportation reservations (air, train, or car), hotel reservations, and providing detailed itineraries
- Handle expense reimbursements for Senior Vice Presidents
- Organize and process bills for payment; obtain required signatures and documents expense information. Reconcile monthly statements (AMEX, etc) and maintain copies of authorized expenses
- Assist with MS PowerPoint, Word and Excel formatting and functionality
- Prepare mailings using database mail merge capabilities
- Assist with special projects involving data analysis, internet research, etc
- Support council and committee meetings
- Maintain files and agenda materials for key council and committee meetings
- Track adherence to quarterly reporting and forecasting requirements of departments within divisions. Ensure all forecasts are updated and complete by deadline. Highlight any issues to SVP.
- Assist in budget development for SVP office and oversee tracking and adherence
- Maintain copies of contracts and manage contract-related activities, including obtaining master service agreements, scheduling contract review and renewal notifications
- Order office supplies
- Answer phones providing exceptional customer service
- Assist with other administrative projects as needed
Required Qualifications:
- Bachelor's degree
- 1 - 4 years administrative experience
- Advanced Microsoft Office skills, including proficiency with Word, Excel, and Outlook
- Excellent verbal and written communication skills
- Excellent interpersonal skills and strong customer service skills
- Demonstrated ability to maintain confidentiality and exercise discretion and sound judgment
- Strong organizational skills and ability to manage multiple priorities
- Ability to manage change and be flexible
- Availability to work overtime when needed
