OVERVIEW:

Reporting to the Director of Development and Operations, the Operations Specialist will meet the growing operations, HR, finance, IT and culture needs of Year Up Providence. This position will play an integral role in supporting and defining systems and processes that will position the site for continued growth and efficiency. This is a great opportunity for a driven individual interested in further developing operational, people development, and project management expertise within a fast-paced, mission-driven organization.

The ideal candidate will be experienced in handling a wide range of operations, special projects planning and HR related tasks and will be able to work independently with little or no supervision. This person must be able to interact with internal and external stakeholders while remaining flexible, proactive, organized, resourceful and professional under pressure, often while maintaining confidentiality.

In keeping with Year Up's values, the Operations Specialist will also interact with students as an advisor, group facilitator, and advocate, participating in creating and sustaining a positive educational environment, with trust among students, instructors and work site leaders.

KEY RESPONSIBILITIES:

Operations

  • Work across teams to create efficient systems and processes
  • Provide support to team on facility operations, supply management, budget, financial management, emergency procedures, vendor relationships and other duties as assigned
  • Support the management of site technology infrastructure by working the with National IT team
  • Coordinate logistics for all staff related programming, including all-staff meetings, in-service days, celebrations, and National Retreat
  • Perform administrative duties, as necessary, to support the smooth operations of Year Up Providence

Human Resources & People Development

  • Support the recruitment, interviewing, and hiring of new staff members
  • On-board and schedule orientation for new staff members
  • Work closely with National HR to ensure site compliance with Year Up policies and procedures
  • Identify and support staff professional development opportunities and reporting
  • Develop and implement wellness initiatives
  • Build and nurture critical relationships with internal staff and key stakeholders

Culture, Goals and Metrics

  • Track and report on Year Up Providence's annual goal setting
  • Capture and communicate site/team successes and areas for growth
  • Assist in ensuring that Year Up Providence's goals and operations align with those at the National level
  • Maintain the team's culture and physical site space

Site Team/Learning Community Member

  • Serve as an advisor/mentor for a small number of current students
  • Join and sometimes facilitate weekly group sessions with students
  • Participate in staff meetings and trainings

QUALIFICATIONS:

  • Bachelor's Degree, Year Up Certificate, or equivalent experience in a related field preferred
  • 3-5 years of professional experience in a fast-paced office environment
  • Must have an eagerness/ability to identify administrative/procedural challenges and implement solutions
  • Excellent organizational and project management skills
  • Excellent interpersonal, oral and written communication skills
  • Excellent customer service skills
  • Excellent attention to detail within a fast-paced and entrepreneurial environment
  • Strong command of Microsoft Office applications and familiarity with database operations
  • Flexibility and willingness to learn and work on different tasks as needed
  • Ability to take initiative and manage multiple tasks and projects at a time
  • Experience and poise dealing with diverse stakeholders
  • A professional and resourceful style with the ability to work independently and is comfortable in a close knit team-oriented setting
  • A passion for working with urban young adults, an unshakable belief in their potential and a strong commitment to the mission of Year Up
