Job description

Active Voice is seeking a Director of Business & Operations to work in our San Francisco office. Active Voicetackles social issues through the creative use of film. We believe that real progress requires real connection, and that film has a unique power to bring people together in meaningful ways. Every day Active Voice helps filmmakers, funders and communities start the conversations and relationships that lead to lasting, measurable change. Our film campaigns involve: strategy development based on feedback from key stakeholders; partnership development with local and national organizations; message testing via focus groups; close collaborations with community-based organizations to help them produce outcome-oriented events; the creation of supplementary and educational materials; social media engagement; and repurposed video content for web and social media distribution. We also provide consultation to philanthropists, film producers and NGOs who are interested in using film and story to advance social change. Since our inception in 2001, Active Voice has influenced local, regional and national dialogue on issues including immigration, criminal justice, healthcare and education.

The Director of Business & Operations reports to the Executive Director and is responsible for providing leadership on financial, administrative and business strategy functions and systems. Finance responsibilities include: budget development and oversight, and financial reporting and forecasting. Administrative responsibilities include: oversight and management of human resources, organizational policy development and facilities. Business strategy responsibilities include: advising the executive director on strategic business decisions and identifying and managing opportunities to diversify and increase revenue while remaining consistent with the mission and vision of the organization.

The ideal candidate has a B.A. and 5-10 years of experience working directly with operations, finance and business strategy in a small and fast-paced nonprofit setting. A master's degree with a focus on nonprofits and/or social entrepreneurship, as well as experience working with a fiscal sponsor, is a strong plus.

S/he has strong financial leadership skills and proven experience in business strategy in a nonprofit and/or public interest setting. S/he is effective communicating (written and oral) with a range of clients and vendors. The work requires big picture thinking, a high level of collaboration, strong multi-tasking abilities, attention to detail, cultural competency and social entrepreneurship. S/he should be comfortable working closely with senior staff on multiple projects both under deadline and long term. S/he should also be comfortable collaborating with our fiscal sponsor, especially with regards to financial tracking and planning. Applicants must be proficient in Microsoft Office programs, especially Microsoft Excel. Experience with SalesForce, Great Plains, Adobe Photoshop, Adobe InDesign, web maintenance, video production and post-production is a strong plus.

Primary Responsibilities

Finance

  • Development and management of projected fiscal year budget, in collaboration with Executive Director, AVLab Director and financial advisor.
  • Develop and monitor budget, cash flow projections, revenue projections and long-term financial plans, in collaboration with financial advisor.
  • Create budgets for proposals and contracts, and collaborate with staff in the drafting and review of proposal narratives.
  • Budget tracking and expenditure forecasting across all projects, including quarterly (or occasionally, monthly) budget reviews.
  • Collaborate with fiscal sponsor's finance team, communicating all relevant information with regards to grants, budgets, salary allocation, etc.
  • Develop and maintain internal tracking and monitoring systems that support executive director's planning around budgeting and staff allocation; and that supports the development and management of budgets and production of reports and analyses.
  • Oversee all grant deadlines and deliverables (with support from Operations Manager), including preparing financial reports for foundation grants, to be submitted quarterly, semi-annually and/or annually.
  • Remain informed about all applicable accounting and fiscal management laws, rules, and requirements, and work to ensure that the organization is in full compliance.
  • Work to identify balance of "fully earned" unrestricted funds available for spending at discretion of Executive Director.

Administrative/Operations

  • Oversee implementation and maintenance of organization's operational procedures.
  • Supervise Operations Manager in regards to office management, project management, accounts payable/receivable, etc.
  • Maintain and communicate fiscal sponsor's human resources policies and systems.
  • Advise Executive Director on processes to build more efficient big picture structures and systems, including decision‐making procedures, portfolio management, inter program as well as inter‐department communications and operations.
  • Support human resource needs (new staff recruitment, changes to staff benefits, etc.) and coordinating with fiscal sponsor's Director of Human Resources as necessary.

Business Development/Strategy

  • Work with Executive Director to manage the organization's business portfolio, ensuring a diverse mix of grants and contracts.
  • Provide thought leadership around the organization's overall business strategy, while keeping an eye on sustainability and consistency with mission and vision.
  • Managing new project intake, and advising senior staff on assessment of possible new clients and projects.
  • Establish metrics and measurements that will quantify performance against goals and create and maintain a system for obtaining and reporting those metrics and measurements.

Legal

  • Reviewing all contracts with clients, vendors, etc. Coordinating with legal teams, as necessary, and conveying legal information to the Executive Director.
  • Under Executive Director's direction, develop uniform contract terms and procedures, maintaining contract records, and negotiating as necessary with funders and vendors to obtain favorable rates.
