HomeBase, a nonprofit public interest law firm dedicated to ending homelessness, is seeking an Executive Assistant. We are looking for a career-minded and organized individual who is experienced in coordinating the activities of a small, busy office. This position supports the Executive Director, Attorneys, and Administrator. Previous experience in an administrative/clerical support role (at least 1 year) required. Our office is located in Union Square/Financial District of San Francisco.
Qualifications:
- Intermediate proficiency in Microsoft Office on Macs, including Word, Excel and PowerPoint
- Familiarity with standard office equipment and the initiative to problem solve when needed
- Strong professional communication skills, including excellent writing, proofreading, and editing skills
- Ability to meet deadlines and effectively handle last minute requests
- Comfort with working independently as well as accepting instruction
- High performance level and efficiency
- Flexibility and multi-tasking, with proven ability to prioritize and manage several assignments
- Nonprofit experience and interest in social justice issues are a plus!
Primary responsibilities include:
- Coordination of calendars and scheduling meetings
- Making and coordinating travel arrangements for all staff in an efficient and cost-effective manner
- General administrative tasks, such as formatting documents, copying and faxing, ordering supplies
- Maintaining facilities, including keeping copy room, front office, and kitchen clean
- Drafting and formatting meeting notes for Executive Director
- Event planning and support for conferences and client meetings
- Troubleshooting tech issues and liaison with IT support
- Managing annual Direct Mail campaign, including acknowledgment process
- Creating and maintaining accurate, up to date internal procedure documents
- Providing range of support to staff working on various projects, including data entry and office meeting support
- Running errands to post office, copy center, supply stores, and Costco
