Job description

Status: Part Time, Non-exempt

Reports to: Health Center Manager

Location: Orlando, FL

Summary: This position is an entry level job with PPGO. The Appointment Scheduler should have skills sets in customer service, direct delivery of care, and be computer literate, with preference to understanding medical management software. Knowledge of multi-line phone system is a plus.

Primary Responsibilities:

  1. Schedules patient appointments as per protocol for abortion and GYN clinics using medical management software;
  2. Appropriately screens and directs patient calls requiring immediate or same day medical assistance;
  3. Responds to telephone requests for information regarding clinic services, makes any necessary referrals, or directs calls to appropriate staff or management members;
  4. Assists with transfer of information of patient records as requested by supervisor;
  5. Obtains proper medical release forms and mail records upon request;
  6. Ensures that all charts have been pulled for clinician calls;
  7. Verifies and/or retrieves test results for clinician call charts;
  8. Assists with medical record filing and lab filing;
  9. Prepares daily charts for clients;
  10. Prepares packets of medical information as needed;
  11. Inputs patient information and codes into computer;
  12. Adheres to all HIPAA and patient privacy regulations;
  13. Assist with front desk, surgery, and recovery room as requested;
  14. Attends department and all-staff meetings as scheduled;
  15. Performs other duties as assigned by supervisor.

Qualifications:

1. Interest in women's health and ability to learn and follow protocol; pleasant telephone manner; ability to communicate information efficiently and effectively; ability to maintain courteous manner during stressful periods; ability to handle detailed work with precision and accuracy;

2. Able to handle high volume of phone calls, diffusing irritation of some callers, utilizing the language line as appropriate, providing detailed information to some and scheduling appointments for others.

3. Ability to work in a high paced environment, flexible with hours.

Minimum education and experience required.

High School Diploma, Two years customer service experience in a health care setting or related field. Bi-lingual (English/Spanish) or tri-lingual (English/Spanish/Creole) highly desired.

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to clients, and other employees of the organization.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to sit. The employee is occasionally required to stand; walk; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
