JFS is seeking a hands-on administrative/project manager with older-adult experience to coordinate the Agency's Holocaust Survivor Services and managed care contract support operations.
Responsibilities include:
- Primary contact for JFS Holocaust survivor services and programs; informational liaison with community and board members, vendors, grant monitors and others, providing high-quality customer service to a range of stakeholders.
- Oversee and coordinate processing of applications for service; maintain all Holocaust applications, status of consideration, and applicable services.
- Ensure all paperwork requirements are met on a timely basis.
- Support grant/contract operations, maintain program and client data for reporting purposes.
- Maintain accurate records of expenditures for all Holocaust funds and grants to track bothindividual allocations and overall allocations to meet all funders requirements.
- Prepare quarterly funding reports timely for Claims Conference.
- Develop an outreach plan to senior centers and agencies in the JFSLA service area toidentify Holocaust Survivors who may qualify for services. Maintains "contacts" in the community to assure that timely referrals are made to the program.
- Program liaison with agency staff and directors. Educates agency staff regarding appropriate fund/grant utilization and outcomes of Advisory Board Committee allocation decisions.
- Interfaces with and convenes the Advisory Boards and the Café Europa Advisory Committees.
- Referral contact for managed care company; receives and assigns referrals to agency staff; sets appointments for CBAS assessments directly with CBAS clients or CBAS centers; prepares documentation as set forth in contract.
- Prepares and submits weekly reports to managed care company.
- Prepares monthly invoices and summary reports for manages care company.
- Other related duties as assigned.
Qualifications:
- Bachelor's degree in a Human Service field; academic background in the history of theHolocaust preferred, and demonstrated competence working with older adults required;
- Project management experience required;
- Good interpersonal skills;
- Customer-service oriented; good judgment; professional demeanor.
- Able to professionally and accurately represent JFS/Holocaust Program; demonstratedcompetency interfacing with funding sources, stakeholders, internal and external constituencies (i.e., clients, vendors, volunteers, high-profile members of the community);
- Ability to work with high level government and foundation agencies;
- Ability to collaborate externally and internally with a range of other departments andstaff;
- Experience working closely with volunteers;
- Demonstrated initiative and ability to work independently; exceptional time managementand organizational skills;
- Combines understanding of big picture organizational needs with strong attention todetail;
- Excellent internet research skills, spreadsheet and database skills;
- Ability to understand budget reports, evaluate data and prepare grant reports.
- Effective problem solving, oral and written communication skills;
- Culturally sensitive and able to work with a multicultural client/customer population;ability to work in a non-judgmental manner and foster positive growth/outcomes; able to work as part of a team and maintain professional boundaries.
