The American Civil Liberties Union Foundation (ACLU), founded in 1920, is a nationwide, nonprofit, nonpartisan organization, with more than 500,000 members and is dedicated to the principles of liberty and equality embodied in the U.S. Constitution. The Development Department of the ACLU's National Office in New York City is seeking a full-time Development Operations Coordinator.
OVERVIEW
The Development Operations Coordinator provides database and general support within the operations unit of the ACLU's Development Department. The ACLU operates an enterprise wide donor database of over 2.4 million records and 350 users to support its major gifts, planned giving, and direct mail programs for the National office and 53 affiliate and chapter offices. The database team within Development Operations provides user support and develops organizational best practices and business processes to optimize use of the donor database and to support fundraising. The Development Operations Coordinator's primary responsibilities include data maintenance and hygiene, report delivery, and support of the ACLU's nationwide donor database training and support program.
ROLES AND RESPONSIBILITIES
Generate data hygiene reports, coordinate and/or perform clean-up for national offices and affiliates i.e., coordinate with affiliates where needed for input/feedback.
Generate and deliver reports for the database team and ACLU end users.
Perform basic support duties such as: triage tier 2 queues and assign to appropriate resource(s); answer basic user questions and respond to requests; monitor tickets and follow up with end users. Enter data and maintain database.
Maintain Organizational Report Template library.
Maintain and update support website ensuring documentation is up to date and available.
Coordinate and send correspondence to key stakeholders on development operations projects, issues, services, and updates.
Draft and edit basic communications and documentation.
Perform database testing for new software releases.
Assist Training Specialist in training administration by:
Managing training rosters;
Sending training announcements and reminders;
Preparing training documents for courses;
Setting up training data;
Updating training guides and documentation;
Creating basic training documentation (checklists, etc.);
Coordinate and perform departmental financial processes including: process and reconcile invoices, coordinate affiliate charges and reimbursements for database services.
Coordinate tasks and projects under the direction of the Director of Development Operations as well as other staff members in the department.
Perform other duties and special projects as assigned.
EXPERIENCE AND QUALIFICATIONS
Bachelor's Degree and minimum 2-3 years of experience working in database systems, preferably fundraising systems.
Minimum 2-3 years of experience working in a support environment.
Experience working in a development department preferred.
Proficiency in basic querying tools, preferably Business Objects.
High degree of proficiency in Microsoft Office, specifically Microsoft Word, Excel and Power Point.
Demonstrated understanding of basic concepts of relational databases and reporting tools.
Strong organizational skills, multi-tasking skills and attention to detail.
Excellent verbal and written communication skills, including the ability to compose, edit, and proof correspondence and documents.
Ability to communicate effectively with all levels of staff and end users.
Ability to work independently and as part of a team.
