Volunteer Opportunity description

Are you interested in assisting our organization with its efforts in empowering children and adolescents with the tools and resources needed to be successful? We're currently looking for a professional, committed, and compassionate volunteer for the position of executive assistant to our Chief Development Officer.

Ivy Child International is a Worcester, Massachusetts based nonprofit whose mission is to help each child achieve their best by recognizing and enhancing their unique strengths and abilities using yoga and mindfulness practices, music and movement, cultural awareness workshops, and much more. We provide cross-cultural positive psychological services for children, families, and communities worldwide. We teach kids and teens mindfulness, self-regulation, leadership and resilience to build healthy habits for life.

Reports to: Chief Development Officer

Salary: Presently this is an unpaid volunteer position however it will become a full time salaried position.

Main functions:

**

  • Maintain excellent relations with all levels of internal and external customers
  • Prioritize work/information requests and leads projects with efficiency and diplomacy
  • Give attention to details in overall work, timelines and accuracy of quantitative/quality information
  • Works well with tight deadlines in a team environment
  • Accurate and timely monitoring of projects progress.
  • Organize and coordinate events with multi-cross functional service units, respecting agreed logistic/scope and timelines.


Duties:

**

  • Coordinate events including: calendars, prepares correspondence, management presentations, ad hoc reports, translation/adaptation of documents and other related duties
  • Proactively looks for new ways to improve current processes/work templates and their continuous improvement/efficiency
  • Arrange and attend specific meetings, record the meeting minutes.
  • Prepare, format, develop, edit, revise and review for accuracy; visual presentations, graphical material, planning documents, spreadsheets, executive reports and templates.

Working conditions:

This is mainly a telecommuting volunteer position where you would be working from the comforts of your home. However, there will be instances when you would need to meet with your supervisor in person in order to go over current/future projects and tasks.

Employment Requirements:

**

  • Prior experience working for a non-profit in the capacity of an administrative/executive assistant
  • Post-secondary degrees are preferred
  • Excellent communication skills both oral and written
  • Located in the metro-Boston/Worcester vicinity for occasional meetings
  • Advanced knowledge of the MS Office Suite (Word, Excel & PowerPoint)
  • Shows initiative, self motivated, and superior organizational and time management skills

  • Requires discretion to perform all duties with confidentiality
  • Accuracy and attention to detail are essential
  • Ability to work well under pressure and deal with multiple priorities and deadlines.
  • Good analytical skills and ability to exercise sound judgement.
