Position Title: Self funded In-Country Manager

Reports To: Founder

Location: Hoi An, Vietnam

Status: One year fixed term contract although this could be flexible

Working Hours: 8am to 5pm Monday to Friday with one hour for lunch

Start Date: Ideally mid 2014 to allow a handover but this could be flexible for the right candidate

Brief Description:

The Lifestart Foundation is a grassroots, not-for-profit charity that helps disadvantaged Vietnamese people and their families to become self-sufficient.

The team works to create sustainable and ongoing income streams for the disadvantaged via education and vocational training schemes. Those with complex disabilities are given improved opportunities through the Lifestart Foundation Workshop and the Lifestart Foundation Free Disability Community Centre.

Key Objective:

To manage the activities of Lifestart Foundation in Vietnam to ensure Lifestart Foundation is able to help those living in disadvantaged situations to become self-sufficient. This involves overseeing operations in Vietnam, capacity building local staff, fundraising and promoting Lifestart Foundation. A crucial requirement is flexibility in meeting the needs of the Lifestart Foundation as they arise. The candidate should spend their time in Lifestart Foundation working towards the goal of making their role redundant by the end of their tenure.

Required Capabilities:

  • High level of communication and interpersonal skills
  • Excellent organisational and problem solving skills
  • Proficient computer skills (including MS Word, MS Excel)
  • Excellent written and spoken English

Required Key-Skills and Practical Requirements:

  • Ability to work independently on own initiative
  • Desire to help others to help themselves
  • Diplomatic in difficult situations and able to work well under pressure
  • Pragmatic in approach
  • Hardworking and committed
  • Confident in own abilities but also confident enough to ask for help when needed
  • Ability to respond fairly in emotional situations without becoming overly emotionally involved or making rash decisions
  • Ability to obtain satisfaction directly from the role without the need for external encouragement
  • Ability to manage many different personalities and ages of volunteers patiently
  • Ability to work in hot and sometimes uncomfortable conditions (up to 45 degrees in the hot season and reasonably constant rain during the rainy season)
  • Comfortable with riding (or learning to ride) a bicycle or motorbike.

Desirable Capabilities

  • Knowledge of or experience in fundraising
  • Ability to write grant proposals
  • Ability to assist others with IT issues
  • Design and/or photography skills
  • Experience of using the Adobe suite including Photoshop, InDesign & Illustrator
  • Experience of HTML or Wordpress for website updates
  • Experience of project management

Background:

The points below list some of the facets of the role undertaken by the current In-Country Manager to give an idea of the variation possible in the role. Many of the original functions of this role have been delegated to the local management team. Lifestart Foundation is flexible with whether these form part of the In-Country Manager position or that of other staff of volunteers in the future and would be very interested to discuss other areas of expertise potential candidates could bring to Lifestart Foundation.

  • Supporting Karen Leonard with general in-country administration
  • Overseeing the management of Lifestart Foundation staff in Vietnam and dealing with any HR or other issues that arise
  • Capacity building the Vietnamese management team
  • Overseeing the management of local staff which currently includes two managers, three members of staff responsible for retail sales and the support of the disabled workshop members, one teacher, one caretaker and two allied health assistants.
  • Developing the staffs computer skills and delegating functions over to Vietnamese members of staff where possible
  • Managing the local spending and financial reporting
  • Assisting with IT issues when they arise
  • Interviewing and writing the stories of recipients
  • Managing new projects
  • Updating the English pages of the Lifestart Foundation website
  • Researching potential grants, writing grant proposals and progress reports for funders
  • Donor management
  • Researching and purchasing raw materials for the workshop
  • Professional email and letter communications with supporters and other interested parties
  • Updating volunteer guidelines and pre-departure information
  • Writing the Lifestart Foundation business plan
  • Sifting volunteers and speaking to volunteers interested in working for Lifestart Foundation. Providing them with local information as well as work related information.
  • Managing volunteers
  • Updating marketing material
  • Producing information for online store
  • Responding to emails sent from members of the public
  • Organising Lifestart Foundation records and documents electronically

Local Conditions:

The successful candidate will work from a shared air-conditioned office but will be required to travel on a daily basis to meet participants and staff members working at the Lifestart Foundation Workshop around 1km from the office. Both are close to the centre of Hoi An.
