Volunteer Resources Generalist

Volunteer Position Description:

The Volunteer Resource Generalist supports the day-to-day functions of the HavServe Volunteer Program, inclusive of recruitment, training, volunteer relations, performance management, compliance and other volunteer resources duties. This position reports to HavServe Executive Director.

Summary:

  • Ensure that all volunteer recruiting activities are timely, effective and focused on maintaining the organization's values.
  • Recruiting and selection of non-management positions, inclusive of assisting with volunteer position descriptions, posting positions, and tracking open requisitions
  • Interview and make recommendations to volunteering management on qualified candidates that have experience, skills, and values that align with the organization's needs.
  • Oversee the background check process, ensuring compliance with organization's standards and the FCRA.
  • Conduct the organizatiion's volunteer needs that are commensurate with skill level and volunteer position responsibilities.
  • Ensure on-boarding of all new volunteers is conducted in an efficient manner, inclusive of educating new volunteers on the organization's beliefs and standards, as well as benefits and policies.
  • Extend volunteer position offers and prepare offer documents.
  • Ensure all new volunteer paperwork is compliant and all new volunteer data is entered into our volunteer management database timely.
  • Update volunteer files to document personnel actions.
  • Ensure all volunteer files are maintained properly and in accordance with applicable laws and regulations.
  • Assist in the investigation and resolution of volunteer complaints and concerns.
  • Provide training to volunteers on programs and processes.
  • Provide counseling to volunteers and management as needed.
  • Provide training and assistance to Management on processes such as volunteer position offers, discipline, documentation, and termination.
  • Conduct preliminary post-accident investigations and prepare and file reports of accidents & injuries.
  • Prepare volunteer metric reports as well as other requested volunteering data reports.
  • Conduct volunteer surveys and audits as needed.
  • Ensure the organization's volunteer database is up to date and accurate.
  • Assist in the management and implementation of the volunteer program.
  • Assist HavServe CEO in communicating Human Resources policies, procedures, programs and volunteering program laws.
  • Keep the CEO informed on all internal issues related to volunteer relations, discipline, safety and etc.
  • Handle sensitive, confidential information and assignments with tact, discretion and diplomacy.
  • Establish and maintain cooperative working relationships and communicate effectively with all volunteers.
  • Display exemplary customer satisfaction skills including dealing effectively with the public, and volunteers.
  • Exhibit dependability and reliability in effectively performing all volunteer related tasks.
  • Other duties as assigned

Qualifications:

  • Bachelor's Degree or equivalent HR experience
  • PHR or SPHR certification a plus
  • Two to Four years of strong professional, current, progressive HR experience
  • Minimum of 2 years benefits administration experience
  • Demonstrated knowledge and understanding of employment law, policies and procedures is essential.
  • Ability to multi-task and work in a fast-paced, constantly evolving environment
  • Ability to maintain strict confidentiality is mandatory
  • Ability to effectively interact with and maintain positive, constructive relationships with volunteers and management
  • Ability to make recommendations that effectively resolve problems or issues by using appropriate judgment consistent with standards, practices, policies, procedures, regulation or government law
  • Demonstrated ability to respond in an emotionally appropriate manner in challenging situations
  • Effective coaching skills
  • Bilingual (English & French) a plus
  • Ability to execute strong written and verbal communication skills with use of proper English, spelling, grammar, punctuation, and business formatting
  • Proficiency in the use of E-mail systems and MS Office Suite
  • Non Profit experience a BIG plus
  • Display professional appearance and conduct
