Bredhoff & Kaiser, PLLC, one of the nation’s premier union-side law firms, for decades has pioneered the representation of employee-benefit plans maintained for union members. We are leading practitioners at the intersection of union-representation and employee-benefits law for unions, health and welfare plans, and pension plans, including multi-employer plans.  We are currently seeking a Benefits Coordinator to primarily support the firm’s QDRO and collections practices.

Responsibilities

  • Monitor and track incoming domestic relations orders from client funds and administrators; track deadlines, client communications, and responses to ensure compliance with court orders and client requirements
  • Review orders and similar documents to ensure compliance with plan documents, draft responses, compare and flag differences and potential issues for attorney review
  • Obtain factual information from other law firms, fund administrators, dockets, and courts
  • Draft responses to subpoenas, levies, and/or garnishment notices; audit letters; meeting minutes
  • Research, edit, review, prepare, and file, under the direction of a supervising attorney, a range of regulatory filings, including, but not limited to, corrective filings made under ECPRS, Forms 5500 and 990, and Applications for Tax-Exempt Status (Forms 1023/1024)
  • Prepare, edit, draft, and restate plan documents (inclusive of Trust documents and SPDs) including routine plan amendments
  • Track and incorporate plan amendments, maintaining working restatements for each benefit plan
  • Prepare, track, and edit investment documents
  • Maintain rules, procedures, and records for plans and organizations
  • Prepare meeting materials and compilations of information
  • File articles of incorporation and similar documents for firm’s non-profit practice clients
  • Monitor class actions, flag issues for attorneys, and ensure timely filing of responses 
  • Open, log/track details and statuses, and close all collection matters and overpayment matters in spreadsheets and/or databases
  • Facilitate collection and distribution of documents and records to/from clients, funds, and employers and ensure completeness and accuracy of all documents, including underlying formulas in spreadsheets
  • Perform factual research concerning public and private entities, including ownership and asset information
  • Prepare interest calculations for underpayments/overpayments

Qualifications and Requirements

  • Excellent oral and written communication skills, including outstanding grammar and proofreading skills
  • Well organized with keen attention to detail and follow through
  • Proficiency in MS Office Suite applications (particularly Word, Excel, Outlook)
  • Analytical skills and problem-solving capability
  • Excellent research skills
  • Ability to multi-task and set priorities appropriately; know when to act and when to refer matters to manager or attorney
  • Ability to exercise initiative to identify attorney and client needs and commitment to assist with whatever is needed
  • Ability to understand complex relationships and organizational structures
  • Prior experience as an employee benefits specialist or assistant is desirable
  • Proven capabilities to work well in teams, and to develop and maintain quality relationships with staff, lawyers, clients, and vendors

Supervision

  • The position reports directly to the Benefits Manager, but works with and receives direction from all benefits attorneys
  • Work is frequently checked by attorneys, but Coordinator is usually the last person to touch work product before it is filed or referred to so strict attention to detail is required
  • Position has no direct reports but will occasionally provide direction to Benefits Assistant or other assistants
