    Role Overview

    At Defiant Health, we are deeply committed to supporting and guiding patients through the diagnostic process for possible breast cancer. We understand that this can be a stressful and uncertain time, and we believe that every interaction—no matter how small—can make a meaningful difference.

    As an Administrative Coordinator, you will be the first point of contact for patients, ensuring they feel welcomed, supported, and cared for. Your role will be critical in coordinating all administrative activities for Defiant’s new virtual care clinic, helping patients navigate their care journey with ease and confidence. This is primarily a remote position, with some in-person time required weekly in Norwell, MA.

    Responsibilities

    • Serve as a warm and reassuring presence for patients, helping to ease their concerns as they begin the diagnostic process.
    • Register new patients, collecting insurance and demographic information in a virtual clinic setting.
    • Assist with scheduling virtual visits, imaging appointments, and coordinating with outside lab vendors and clinical partners.
    • Manage the collection and transfer of medical and imaging records from outside medical groups.
    • Work closely with Defiant’s clinical team to facilitate scheduling, obtain lab results, and coordinate with insurance providers.
    • Provide clear, compassionate guidance to patients and families regarding care logistics, ensuring they feel informed and supported.
    • Help create and refine administrative best practices, operational protocols, and SOPs.
    • Track and review operational and engagement data to improve patient experience.
    • Assist patients and families in coordinating transportation to and from imaging and lab appointments.

    • Meticulous attention to detail and follow-through, ensuring no patient need goes unanswered.

    Qualifications

    • 2-4 years in an administrative role, preferably in healthcare or a patient-facing environment.
    • Comfort with technology and various software applications for scheduling, documentation, and communication.
    • Bonus: Experience in breast health, oncology, or a startup/early-stage company.
