The Business Operations intern will report to the Operations Manager and provide support in various areas of the organization. The Business Operations intern will assist in making sure that offices are running as well as it possibly can, with seamless service that meets the expectations and needs of clients and fellow employees. This person will also assist the operational systems, processes and policies in support of the organization’s mission and provide a proficient level of customer service.
ESSENTIAL DUTIES AND RESPONSIBILITIES
New Employee Orientation – Prepare work space & paperwork for new hires, and provide basic office information and orientation.
Vendor Accounts & Invoices – Assist with coordinating all vendor accounts and relations with special attention to those that involve service (copier, office supplies); establish new accounts as necessary; understand and meet the requirements of employees and expectations of vendor performance; maintain service and billing files for all vendors, reviewing for accuracy; and process invoicing reports and requests for payment.
Building Mgmt. Relations and Office Upkeep – Maintain office supplies, equipment inventory, and anticipate the need for new purchases in a cost effective and timely manner; address employee’s queries regarding office management issues (e.g. stationery and hardware).
Budgeting – Assist in preparing bi-weekly job costing/team budget reports for team leaders to ensure teams are on track with their financials.
Technology – Support efficient practices within organization, using technology. Participate in monthly meetings with IT vendor to discuss IT health of organization and special IT projects. Recommend information technology strategies, policies, and procedures by evaluating organization outcomes, identifying problems, evaluating trends & anticipating requirements.
Bachelor's degree in Business, Finance, Engineering or related field.
· At least 1-3 years of professional work experience
· Strong organizational skills
· Must be well-organized
· Takes initiative, and able to function under pressure
· Ensure that deadlines are met without compromising quality
· Highly developed written, verbal and interpersonal communication skills
· Ability to develop and maintain positive working relationships with other team members
· Willing and able to adapt to changes in the work environment; manage competing demands and able to deal with frequent change, delays, or unexpected events
· Proficient in MS Office
