Primary Responsibilities

The Executive Assistant’s role is to support the SBA Principal as she leads a team to deliver value for clients. Specifically, the Executive Assistant will support SBA’s Principal across her projects and capacities with activities including:

·      Meeting Scheduling & Support:

o  Calendar management: Manage complex scheduling and preparation for meetings (including board, team, partner, funder, working group meetings, etc.)

o  Meeting support: Help track and share materials (agendas, support documents, etc.) in advance of meetings.

o  External relationships: Develop productive staff-level relationships with SBA partners to help efficiently plan and execute meetings and events.

o  Event planning: Coordinate logistics for high-level events, as appropriate, including coordinating with VIP speakers, experts, and foundation leaders.


·      Administrative Support

o  Logistics: Assist with organizational administration and support, including making travel arrangements, booking meeting space, and taking notes/minutes during meetings.

o  Team: Support high-functioning team dynamics by tracking priorities and participating in team meetings as appropriate.

o  Writing: Draft emails and other correspondence and light research, as appropriate.


·      Relationship management

o  Ambassador: Build effective relationships with all parties (e.g. team, funders, partners) and make strong interpersonal connections to facilitate the work.


Candidate Skills

Given the dynamic nature of SBA’s client engagement approach and portfolio, we find that a few qualities are key to being successful:

·    Proactive: Seek out information and prioritize what is important; ask good questions; be the first and last line of defense to ensure consistency and rigor of SBA’s work.

·    Clear communicator: Participate well (in writing and in person/video/phone) with funders and partners; build relationships while maintaining strong attention to detail.

·    Adaptable: Thrive when faced with new opportunities while focusing on existing work; embrace changing conditions in a dynamic work environment.

·    Collaborator: While focusing on the Principal, work well in a team environment which includes day-to-day colleagues, partners, advisors, funders, and other mission-driven allies to bring about greater impact.

Additionally, experience working with high level VIPs and in administrative teams is beneficial. Familiarity with the non-profit sector, philanthropy, fundraising is also helpful.
