Job Title: Development and Administrative Coordinator

Status:  Full-time, non-exempt

Location: 4 or more days in the Gainesville, FL office and up to 1 day remote. On Occasion, you may be asked to work additional days in the office or remotely from other locations as needed.

Schedule: 40 hours/week M-F, 9 am to 5 pm; Schedule may shift according to client needs and current projects, with occasional evenings and weekends.

Position summary: Development and Administrative Coordinators (DAC) at AMC fulfill a hybrid role and support both administrative and client-facing work. The DAC works with AMC staff to provide administrative assistance, manage projects, support client engagement, and oversee various office services such as email correspondence, meeting coordination, and office space maintenance. The DAC will also work collaboratively with the AMC team to coordinate activities, assist with research, manage databases, and complete other related work as needed. The DAC is evaluated based on how they carry out these responsibilities; overall client and employee satisfaction as measured by formal and informal client and team feedback; the progress they have made towards the performance goals outlined in their annual goal setting worksheets. Typically, DACs have some experience working in a nonprofit fundraising setting and/or a degree in a relevant field.


Key Responsibilities and Tasks

  • Manage and maintain deadline calendars and schedule deadline-associated tasks.
  • Assist in the preparation of grant proposals, ensuring accuracy and adherence to guidelines.
  • Track and maintain records of all grant applications, including deadlines, requirements, and outcomes.
  • Coordinate and collect information, including taking minutes if needed, for client and team meetings.
  • Perform general office duties, such as answering telephone calls in a clear and professional manner, organizing and handling information requests, ordering office supplies, etc.
  • Manage timely email correspondence; organize and sort incoming communications to create an efficient system with priority order; and respond to email and voicemail in a timely manner.
  • Proofread and prepare proposals and other professional documents using Word, Excel, Google Docs, Google Sheets and/or database software for AMC and client communications. 
  • Collaborate with AMC staff to research and identify potential funding opportunities, including foundation grants and other sources.
  • Manage efficient, easy-to-access filing systems (paper and electronic), and maintain and organize files (hard copy, Dropbox and/or Google Drive).
  • Research foundation and grant databases for client and proposal needs.
  • Track all hours/projects in Asana & Harvest.
  • Communicate with the CEO, COO, staff, and consultants as needed.
  • Maintain confidentiality of all client information.
  • Provide clerical and project support functions as needed.
  • Other duties as determined by supervisor.


Key Competencies and Essential Job Functions 

Fundraising: You have some exposure to and experience with fundraising, including grant writing, donor relations, or the like. You understand the basics, and can work with AMC contractors and staff to provide administrative support for fundraising efforts.

Administrative skills: You have excellent organizational and administrative skills, including the ability to manage multiple tasks, prioritize work, and meet deadlines. You are proficient in creating and maintaining files, records, and other administrative tasks. You are also adept at using administrative software and tools.

Communication: You possess excellent written and verbal communication skills, including the ability to develop clear and concise written materials and to communicate effectively with clients and colleagues. You also have strong interpersonal skills, including the ability to build and maintain strong, professional relationships. 

Project management: You are able to plan, execute, and monitor projects to successful completion, ensuring that they meet deadlines, budgets, and other requirements. You are able to work with colleagues to ensure that projects are completed on time and on budget.

Research: You have strong research skills, including the ability to gather and synthesize information from a variety of sources. You are able to use these research skills to support client and administrative projects.

Software Literacy: You are comfortable using all of AMC’s and AMC clients’ software platforms (Asana, Harvest, Microsoft Office Suite, Google Workplace, Foundation Directory Online, Salesforce, Sharepoint, Instrumentl, Grantstation, Dropbox, etc.) and navigate other online platforms effectively. You are able to use these software tools to support your administrative and fundraising work.


Other Information

Work Environment: This position leads teams and works with clients across multiple U.S. time zones. Professionalism and discretion are required. This role routinely requires the use of standard office equipment such as computers, phones, and printers. The essential functions of the job require that the individual working in this position remain standing or sitting in a stationary position for most of the day and move about within an office environment to access file cabinets and the aforementioned office equipment.

Compensation and Benefits

This is a full-time, non-exempt position with an annual salary of $51,200. This salary is based on comparable job salaries and a market value analysis using data from PayScale. In keeping with our Pay Equity Policy, the pay rate for this position is non-negotiable.

  • Paid, Unlimited Vacation Time (UVT): after the completion of a 90-day introductory onboarding period.
  • Paid Holidays in keeping with the City/County of San Francisco’s Holidays  
  • December Holiday break: Week off over the Christmas and New Year’s holidays.
  • Paid Sick Time: 1 hour earned per 30 hours worked starting on the first day of employment. You can begin utilizing earned sick time 60 calendar days after you begin working.
  • Individual Coverage Health Reimbursement Arrangement (ICHRA): Staff are eligible to participate in ICHRA on the first of the month 30 calendar days after their first day of employment and receive a $500 AMC employer contribution. Staff can also set aside additional pre-tax salary funds to pay for medical health insurance premiums. 
  • Elective Dependent Care FSA: Staff are eligible to elect to participate in this benefit and set aside pre-tax funds to pay for child or elderly care costs on the first of the month 30 calendar days after their first day of employment.
  • Home Office Budget - AMC will reimburse you for home office costs, including but not limited to internet, office supplies, etc. - up to $200 per year.
  • 401K Retirement: All full and part-time employees are automatically enrolled in AMC’s 401(k) plan after six months of employment. AMC will contribute 100% of your elective deferral contributions up to 1% of compensation plus 50% of your elective deferral contributions over 1% up to 6% of compensation.
  • New Business Bonus: You will be eligible to earn a bonus of 10% of the initial contract amount on any new client that you introduce to AMC, paid quarterly during the initial year or project period. New business bonus payments are capped at $5,000 per client. New clients are defined as those who are not already in our business development pipeline, have not discussed our services with us or have not yet received a proposal. These are organizations that you encounter outside of your normal working hours or responsibilities at AMC. 
  • Performance Bonus: Staff members who satisfactorily meet or exceed your performance and profitability metrics will receive a $2,000 bonus. 50% will be paid out in August based on January - June performance, and 50% will be paid out in January based on July—December performance.
  • Professional Development (Association Memberships, Books, Webinars, Conferences etc.): $500 per year; note: conference fees above $500 must be discussed in advance and approved separately.
