Description

LogCheck builds software that helps operations and maintenance teams anticipate and prevent problems before they happen, saving time, money and frustration for building operators and property managers. We’re in search of an Office Manager who will do the same for our administrative operations. We are looking for someone who, like us, is excited to use technology to create something other than bigger and more entertaining wastes of time. Someone who wants to apply their skills toward reducing actual waste, helping operations and maintenance staff improve the health, safety, and efficiency of their facilities.

Are you that person? If so, our small and growing company is ready to welcome YOU, our responsible and thorough new colleague! Your efforts will help keep our business operations running smoothly and ensure our employee experience is as functional and engaging as the software we sell.

Responsibilities

Reporting to and in concert with our Operations Manager, you will deftly discharge operations and administrative duties like:

  • creating and emailing electronic invoices and dunning reminders
  • creating quotes, procuring POs, sending COIs, and answering account inquiries
  • maintaining accurate data in our CRM (in concert with marketing, support and sales)
  • compiling bank deposits and sending check scans to our offsite accounting partner
  • making sure we’ve got variety in our weekly Friday team lunches
  • keeping Snacks Corner stocked with tasty and healthy treats people actually like
  • planning ongoing team-building events like food tours, happy hours, and a holiday party
  • dreaming up new ways to reward and motivate our awesome team
  • maintaining office supplies, keys, our phone system, and computer/electronic assets
  • liaising with building management and super for maintenance as needed
  • collecting monthly monies from neighbor offices for shared bathroom supplies
  • and anything more that you believe will improve company procedures and day-to-day operations, or contribute to the ongoing growth and comfort of your colleagues.

Essential traits

Quality teammates are very important to us, and we will invest in developing your skills during your on-boarding and beyond. (In fact, this position was created to allow our operations manager, who has been handling these tasks, to focus on other projects and responsibilities. So we’re not kidding about growth!) While we aim to find candidates who already have experience with general admin and office duties, we are also adamant about finding candidates with the following traits:

  • Integrity, and lots of it
  • Organization and an intense attention to detail
  • Desire to be helpful and responsive to customers’ needs
  • Facility with business correspondence
  • Inquisitiveness and a sincere drive to be an asset to your colleagues
  • A real interest in helping a startup company grow

Software competency

The best candidates will have experience with a variety of office software including email and calendar tools, spreadsheets and databases, and a strong interest in continuing to learn more. Super bonus points if you already know any of these systems (and please let us know if you do):

  • Salesforce
  • Google Apps (Gmail, Calendar, Drive, etc.)
  • Excel / Google Sheets
  • SaaSOptics
  • Quickbooks

Benefits

Our office atmosphere is casual and hardworking, and we retain talented people by promoting a supportive and accommodating culture. Our impressive benefits include things like:

  • company contribution to health insurance, with optional dental and vision
  • optional life insurance
  • paid time off and 11 company holidays a year
  • flexibility in work hours when needed
  • 401(k) with company matching
  • stock options
  • pre-tax commuter benefits
  • team lunch every Friday
  • regular social outings like bowling, happy hours, softball, and pizza tours
  • continued opportunities for professional skills development & trainings
  • a fun and relaxed work environment with an extremely talented team
