Kelley Nonprofit Consulting (Kelley NPC) works with the philanthropic sector, community-based nonprofits, jurisdictions, public agencies, municipal funding programs, sovereign tribal nations, and statewide and regional nonprofits to help them dream and achieve their big, bold visions.

Position Summary

Our work team continues to grow! Kelley NPC seeks a full-time Bookkeeper and Financial Specialist to join its growing company. We are a hard-working team with a fun but fast-paced and often heavy - but extremely rewarding - workload. The successful candidate will bring excellent bookkeeping and financial management skills, paired with an ability to manage multiple projects and deadlines concurrently. 

For this new role at Kelley NPC, we’re seeking an experienced financial professional to support our team in both establishing and maintaining a variety of internal financial procedures and controls, from invoicing to reporting to budgeting to forecasting and more. The ideal candidate will have experience as a bookkeeper, preferably in at least a mid-level role. As a strong communicator and skilled financial professional, and along with regular bookkeeping duties, this person will streamline our budgeting, payroll, forecasting and financial reporting processes. They will also produce thorough financial status reports for the Owner to help improve our operational efficiency and support our continued growth.

While this position will report to Kelley NPC’s Owner, the Financial Specialist will be expected to work independently and remotely a majority of the time while maintaining availability and responsiveness during regular business hours (9am to 5pm PT). This position does not include any oversight or management of other team members.

Essential Duties

Please note that, on average, this position’s duties will be approximately 80% internal and 20% external (i.e. providing services as needed to Kelley NPC’s clients).

General Bookkeeping & Invoicing (70%)

• Record, manage, and enter day to day finances, including expenses and transactions, for Kelley NPC.

• Develop and maintain a system for sending out invoices to each of Kelley NPC’s clients and accounts timely and monthly, or at a frequency dictated by the contract.

• Track all invoices sent out, and follow-up on payments as needed.

• Maintain a record and understanding of financial and/or hourly Not-to-Exceeds for Kelley NPC contracts and develop mechanisms for monitoring these caps on a monthly and annual basis.

• Plan for and ensure positive cash flow for the organization to meet anticipated expenses.

• Organize Kelley NPC’s expenses and make necessary deposits or payments.

• Organize a variety of financial data so they may be regularly reported and acted upon for a variety of uses (forecasting, budgeting, compensation, and more).

• Streamline individual bookkeeping and other financial and time management systems according to Kelley NPC’s needs.

• Run payroll for the team twice per month, including adding team reimbursement costs as needed.

• Protect operations by keeping financial information and plans confidential.

• Support the Owner in gathering and completing required financial information to submit taxes and tax-related documents annually.

• Other tasks as assigned.

Other Financial Duties (30%)

• Help guide financial decisions by establishing, monitoring, and enforcing policies and procedures in partnership with the Owner.

• Serve as the main contact for multiple types of providers to obtain required insurance coverage for various public contracts.

• Prepare budgets by establishing schedules; collecting, analyzing, and consolidating financial data; recommending plans.

• Provide status of Kelley NPC’s financial condition by collecting, interpreting, and reporting financial data.

• Prepare special reports by collecting, analyzing, and summarizing information and trends.

• Complete state registrations as needed for states in which employees reside including filing employment reports, workers’ comp reports, and other relevant requirements and tasks.

• Proactively ensure compliance with federal, state, and local legal requirements by studying existing and new legislation, enforcing adherence to requirements, filing financial reports, and more.

• Support Kelley NPC in achieving budgeting goals with proper scheduling, analysis, and corrective actions as needed.

Qualifications

Required Qualifications

• 3-5 years of bookkeeping experience

• Experience working with budgets in excess of one million dollars.

• Solid understanding of how financials work within the larger organizational health and structure (programmatic, operational and fund development). 

• Experience with QuickBooks (Online), Google Suite apps, Microsoft Office apps

• Ability to organize and prioritize multiple complex projects.

• Superb written and verbal communication skills.

• Excellent people skills – warmth, empathy and a desire to genuinely help our under-resourced nonprofits. 

• Ability to identify and use resources creatively and proactively.

• Ability to use time efficiently and purposefully. 

• Excellent computer and technological skills - tech literate in a variety of platforms. 

• Ability to work a flexible schedule that will include some evenings and weekends during the occasional heavy deadline time period. 

• Ability to attend meetings in and around Oregon (statewide) and SW Washington as needed.

Preferred Qualifications

• Experience working with entities that operate under a consulting model through which they have multiple clients that are regularly invoiced.

• Experience with project management and collaboration software.

• A degree or certificate in accounting or finance.
