Searching for an organized, meticulous, calendar management guru -- a dynamic Executive Assistant to support a great Executive Director.


This is a temporary Executive Assistant role to an Executive Director who is looking to partner with his assistant. Our client is a mission-driven advocacy non-profit that needs temporary help for the next 3-4 months(+). The current individual in this role is being promoted, so the client would like a period of overlap for training, starting ASAP, and plans to keep the temporary person in place until they can hire permanently.


This job will start as a remote position - and only a laptop will be provided. The staff may return to their offices in the upcoming months and would expect the Executive Assistant to transition to working on their premises as well. All state-mandated safety measures will be in place and confirmed before this would occur.


ROLE:

Scheduling:

About 70% of the role is scheduling and calendar management. The ED is very schedule-oriented and needs someone methodical and organized who can help him manage the calendar. He builds everything into the calendar – details might include a 20 min prep for one appointment, then 2 hours to work on a project, then a meeting at 3pm with the VP, etc. He will set the parameters and wants help working within them. 

Other responsibilities:

  • Tracking invoices, receipts, and expenses.
  • Contracts and digital organization and filing.
  • HR Project about reporting on time.
  • Monthly analytics reporting.
  • Travel arrangements (on hold for now). Make sure the ED has his per diem and collect receipts.
  • Correspondence

Software:

  • Google suite
  • Salesforce (donor database and will show)
  • Concur
  • Namely (time tracking and will show)
  • Zoom

QUALIFICATIONS

  • 2-5 years of EA/Admin experience, but flexible. Would prefer someone with experience supporting a top executive.
  • Experience in the non-profit sector preferred.
  • An understanding of the high degree of discretion and confidentiality required when supporting a top executive.
