Who You Are

You have at least two years of experience working in a fast-paced, team-centered office. You will be the go-to person for production (proofing and formatting reports, memos, and other deliverables for our clients) and administrative needs.

As production support, you:

  • Proofread documents and presentations, including narrative text, budgets, and graphics for consistency, as well as grammar, spelling, typographical, and capitalization errors.
  • Format documents and presentations according to our design style guide by creating charts, graphs, and diagrams and ensuring aesthetically consistent and on-brand formatting across our deliverables.
  • Monitor and maintain files, font libraries, and image collections.
  • As you grow into the role, coordinate the finishing touches on the multiple deliverables that go to our clients every week.

As administrative support, you:

  • Manage shared calendars and support various scheduling needs.
  • Provide administrative support to all departments.
  • Troubleshoot our technology systems.
  • Provide in-office support (when we are safely able to return to the office). Tasks include answering phones, assisting staff, maintaining a clean office, and helping to take out the trash bins on a weekly basis.

Candidate Qualifications & Experience

Required

  • Two years of professional experience in a similar or related position.
  • Bachelor’s Degree required (or four years of experience performing this position’s requirements).
  • Ability to work independently and follow written edits and tracked changes as well as verbal instructions/feedback.
  • Ability to handle a high volume of work in a fast-paced environment and prioritize projects and deadlines.
  • Skilled in Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook.
  • Excellent organizational skills and strong attention to detail; accuracy is essential.
  • Flexible; able to adapt to changing priorities and deadlines.
  • Ability to work under the direction of managers with diverse styles.
  • Excellent written communication skills, including editing for spelling, word usage, and grammar accuracy.
  • Strong customer service skills and professionalism.
  • Physical demands include the ability to:
  • Sit at a desk for long periods of time using a computer.
  • Read a computer screen and operate a keyboard and mouse.
  • Occasionally lift objects weighing up to 20 pounds.

Desirable Skills

  • Experience creating charts, illustrations, and diagrams.
  • Experience working with philanthropy and/or nonprofits.
  • Experience with marketing, communication, and publications (both print and web).
  • Experience using Adobe Illustrator.

Compensation & Logistics

  • Non-exempt, full-time position, working Monday through Friday, 8:30 a.m. to 5:00 p.m.
  • This position pays $22 to $25 per hour, depending on experience.
  • Full medical, dental, and vision benefits.
  • Voluntary 401(k) plan with company match.
  • We are currently working remotely until it is safe to return to the office. Once we reopen, we are adopting a hybrid office model where staff will work in our Berkeley office twice a week.
  • All staff are strongly encouraged to be vaccinated against Covid-19. Staff who are not vaccinated must wear a N-95 mask for their own and others’ protection when we return to the office.
