IPMW seeks an Operations Director to become a vital member of their team. Reporting to the CEO, the Operations Director is a new position that will enhance the capacity of IPMW to sustain the range of exciting work they have undertaken, allowing you to make your mark as IPMW continues on its growth trajectory.

What will you do as IPMW’s Operations Director?

The Operations Director will be an experienced leader who works collaboratively with our engaged staff and board to develop and implement plans for systems, processes, and personnel designed to accommodate IPMW’s organizational objectives. As IPMW’s day-to-day operations strategy and management lead, the Operations Director will oversee and ensure the successful implementation of talent development, financial management, general administration, facilities management, and information technology activities, policies, and procedures that promote and support IPMW’s culture, vision, and values.

Specific responsibilities of the Operations Director will include:

Administration

·        Write, update, and maintain standard operating procedures (SOPs) and other policies and procedures to ensure effective and efficient business operations.

·        Implement, track, and monitor effective utilization of resources, assets, contractors and vendors, and address issues as discovered; make recommendations to streamline internal processes.

·        Ensure that accounts, subscriptions, licenses, and insurance policies are current.

·        Supervise the Office Manager and Bookkeeper and serve as primary point of contact for the Contract CFO.

Talent Development

·        Plan and implement human resources functions and tasks including and related to recruitment, hiring, onboarding, termination and offboarding, benefits administration, and performance management.

·        Partner with the CEO on carrying out compensation, professional training and development, succession planning, and other talent and retention strategies and initiatives.

·        Develop and implement an internal communications strategy to ensure the timely, consistent, and appropriate distribution of information across IPMW staff and other internal constituencies.

·        Ensure regulatory and legal compliance and make human resources policy and procedure recommendations.

·        Plan staff meetings and other activities to facilitate engagement and foster participation and morale.

Financial Management

·        Establish and enforce financial policies, procedures, and internal controls.

·        Coordinate with the staff bookkeeper and relevant vendors to ensure day-to-day and monthly accounting processes are executed accurately and in a timely manner; fill in when needed.

·        Perform financial reconciliations at the end of each month and provide relevant documentation to IPMW’s contract CFO for production of monthly financial reports.

·        Assist the CEO with annual and grant-related budget preparation.

·        Serve as the primary point person for banking relationships and other financial accounts.

·        Offer recommendations for areas of fiscal growth, reduction of expenses, and risk mitigation.

Housing and Facilities Management

·        Evaluate organizational space needs, configuration, and associated costs.

·        Partner with CEO and reentry program staff to analyze housing needs; identify, acquire, develop, maintain and dispose of housing; and ensure that housing is cost-effective, sustainable, and supports mission-related goals.

·        Explore and implement opportunities to make physical and digital changes to facilitate efficiency, communications, client service, and effective utilization of IPMW’s resources.

·        Develop and implement risk management plans, policies, and procedures to ensure staff and property safety.

Technology and Data Management

·        Establish and uphold standards for data entry/management/maintenance/integrity on a range of systems and platforms; generate reports, conduct research, and analyze quantitative, qualitative, and anecdotal data.

·        Drive the development, implementation, and maintenance of a technology plan that supports IPMW’s programmatic, project management, communications, fundraising, and productivity needs.

·        Oversee the adoption and maintenance of software and systems utilized by IPMW.

·        Oversee document retention and knowledge management infrastructure.

IPMW’s annual operating budget is approximately $1M, which is funded through individual donations, foundation grants, faith-based giving, and service-based contract income. With a staff of 6 (growing to 11) and a 10-person board of directors, you will be joining a team that is committed to making a difference in the lives of justice-involved women.

Key lived experiences, attributes, and skill sets sought in the Operations Director

Success in the Operations Director role requires that the candidate demonstrate qualifications that include:

·        Passion for and willingness to support IPMW’s mission, vision, values, and work.

·        An inclusive, empathetic worldview and skill working across lines of difference.

·        8-10+ years of experience supporting senior leadership and supervising staff, interns, and volunteers.

·        Director-level work experience in accounting, operations, human resources, and/or other relevant fields.

·        Considerable applied knowledge of laws, policies, procedures, principles, methods, and techniques of efficient administration, including talent acquisition and development, facilities management, technology implementation, budgeting and financial management, and evaluation of business operations.

·        Strong reading, writing and administrative skills with the ability to communicate clearly in oral, written, and numeric forms and instruct others effectively, both individually and in groups.

·        Advanced computer skills, including databases and accounting systems.

·        Sound judgment and an understanding of the impact and implications of decisions.

·        Strong organization skills, accuracy, and a personal desire to set and meet high standards of performance.

·        Process orientation with experience synthesizing and communicating complex information and analyzing, creating and improving upon systems.

·        Demonstrated skill managing multiple and sometimes competing projects, tasks, and deadlines.

·        Excellent interpersonal and negotiating skills and an aptitude for building trusting relationships within the organization and with external entities.

·        A drive to maintain ethical and organizational values, norms, and standards in job-related activities.

·        A willingness to seek out information and resources to work through complex problems.

·        Active participation in and facilitation of team effectiveness.


The ideal Operations Director applicant will enhance their candidacy by demonstrating preferred skills, experience, and attributes that include:

·        Formal education and/or certifications in relevant fields.

·        Experience working in a similar role in a nonprofit organization.

·        Experience using QuickBooks.

·        Understanding of, curiosity about, and interest in issues affecting justice-involved women.

·        Understanding and appreciation of equity issues, and desire and humility to grow and learn with the team.

·        Willingness to extend kindness, compassion and accountability to oneself and others.

·        Sense of humor and ability to have fun.

·        Grant writing, grants management or other development experience a plus.


This position requires ordinary ambulatory skills sufficient to visit other locations, as well as the ability to stand, walk, stoop, kneel, crouch, and occasionally manipulate (lift, carry, move) light to medium weights of 10-30 pounds. The work requires good hand-eye coordination, arm, hand, and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment, read information, and perform basic math (addition, subtraction, multiplication, division, standard measurements).
