Evergreen Association Management, a virtual association management company headquartered in Philadelphia, PA is seeking a part-time Membership and Communications Coordinator to support a nonprofit professional association and its executive director. The ideal candidate is customer-service oriented, creative, flexible, and resourceful with the ability to manage multiple and changing priorities.  A summary of responsibilities is included below.

Communications and Marketing

Like most organizations, our client is currently heavily reliant on digital communications to maintain important connections between members and sponsors.  The ideal candidate will understand how important timely, accurate, and concise communications are to the business success of the organization.  With the direction of the executive director and communications committee, the Coordinator will be expected to:

  • Contribute their ideas to the development of marketing strategies and communications.    
  • Liaise with third-party marketing firm to ensure timely and accurate distribution of social media and digital communications, in accordance with project plans.
  • Develop informational and promotional copy promoting programs and services to both members and nonmembers.
  • Support the production of a monthly newsletter using Mailchimp, basic layout, and design, in addition to copy writing and editing. 
  • Perform basic, routine website updates and in conjunction with marketing firm, ensure all live content is timely and accurate.
  • Support social media activity as requested.
  • Create simple graphics using Canva.

Membership and Administration

The focus of our client is their members who work in the healthcare industry.  Every interaction is an opportunity to delight and retain a member, sponsor, or prospective member. The ideal candidate will approach each interaction with this customer service philosophy in mind and will support the team’s efforts to retain and grow membership.  The Coordinator will have responsibilities in this area including:

  • Provide top-notch member services via phone and email, routing communications and answering questions as appropriate.
  • Assist in membership recruitment and retention initiatives, contributing ideas and creating various communications in collaboration with our marketing firm, and as approved by the executive
  • director.
  • Oversee key timelines and deliverables of member programs, as directed by the executive director.     
  • Administer monthly continuing education credits for webinar/podcast participants.

Virtual Meetings and Events

Currently, events for this client are taking place in a virtual environment, primarily, though not

exclusively, using the Zoom platform.  The Coordinator would provide support in the areas of registration, customer service, and communications. 

  • Assist with the production of virtual webinars and podcasts, supporting the team as requested.   
  • Set up basic registration forms, assist with reporting, and provide basic technical customer service.  
  • Generate email communications related to the event (confirmations, evaluations, etc.).
  • Support (primarily virtual) event execution as requested.

Leadership Support and Coordination

Our client is governed by a group of volunteers who run very busy practices. Executive level support and coordination is required to exceed expectations, creating a superior volunteer leader experience. 

  • Coordinate, schedule, and attend virtual board meetings; provide reports as requested.
  • Take minutes of board meeting and distribute upon executive directors’ approval.
  • Communicate with and support board members as requested.


  • A Bachelor’s Degree or equivalent experience is required along with at least 2-3-years’ experience in a marketing/communications role.   
  • Superior writing and editing skills with the ability to persuade action and engagement.
  • Customer-service orientation that results in efficient and positive interactions with members and constituents.
  • Excellent project management skills resulting in organized and timely completion of projects and services.    
  • Comfortable with widely used web-based applications (e.g. Mail Chimp, WordPress) and adept at quickly learning new digital platforms. 
  • Proficient in using Microsoft Office (Word, Excel, PowerPoint).   
  • Located in close proximity to Philadelphia, PA preferred.
  • Successful completion of a criminal background check.

Schedule and Work Environment

This is a part-time remote position. Ideally, the candidate will work 10:00 am – 3:00 pm, Monday – Friday, although this is somewhat negotiable. Some flexibility in this schedule will be necessary to meet the needs of the client; changes to schedules will be discussed in advance.
