The Operations Specialist in our practice is an intermediate-level position requiring previous experience in multiple aspects of office and business management.

Reporting to the Director of Operations, the Operations Specialist (OS) is responsible for the smooth functioning of the firm’s physical and virtual operating environments. Whether managing daily office operations or coordinating support for remote team members across the nation, the OS relies on significant relevant work experience, strong people and organizational skills, and humor, as well as the abilities to work both independently and cooperatively with a diverse group of professionals to help us accomplish our strategic objectives:

Responsibilities of the Operations Specialist

We expect the OS to handle multiple tasks in diverse disciplines, including:

Operations

  • In conjunction with the Director of Operations, oversee day-to-day business needs and processes, while remaining attuned to opportunities for improvement;
  • Assist in developing and implementing operational policies and processes, and improving them through measuring results against relevant standards;
  • Oversee office systems / equipment, and their maintenance schedules;
  • Coordinate maintenance and service requests with building management;
  • Monitor and maintain office inventory;
  • Assist in organizing and facilitating company events, such as staff retreats and client meetings.

Finance

  • Assist in developing and reporting financial and operational metrics;
  • Assist with routine bookkeeping, as well as accounts receivable and payable (including client invoicing);
  • Develop and manage office budget;
  • Facilitate preparation of and process staff expense reports.

Human Resources

  • Assist with recruiting and onboarding processes;
  • Lead internal development and morale initiatives.

Communications

  • Draft and distribute weekly staff communications;
  • Assist in maintaining the company website through minor edits and posting new content, such as pre-written blogs and case studies;
  • Coordinate posts and maintenance of company social media accounts;
  • Send external correspondence on behalf of the firm;
  • Periodically update company-wide templates and other communication materials.

Administration

  • Provide operational and administrative support to staff across the firm;
  • Be a visible front-office presence, receiving visitors, processing mail and deliveries, and answering phone calls;
  • Coordinate and arrange staff travel.

Other responsibilities as assigned.

Required Qualifications for This Position

  • At least three years relevant experience in business operations, including bookkeeping or basic accounting practices;
  • Ability to handle and safeguard sensitive company information;
  • Strong written, verbal, and analytical skills, including the ability to articulate recommendations in a concise and timely manner;
  • Exceptional organizational skills;
  • Proficiency with Intuit Quickbooks;
  • Proficiency with MS Office and Google GSuite applications;
  • Conscientiousness and accountability for personal performance;
  • Ability to work independently while accepting appropriate direction and guidance;
  • Excellent interpersonal and client-facing skills;
  • Commitment to the nonprofit sector.

The OS must reside in the Boston metro area and available to work in our office full time.

As with all CTG positions, this position is contingent on passing a background check.


Preferred Qualifications

  • Associates or Bachelors degree.
  • Familiarity with the nonprofit sector.
  • Experience applying Human Resource concepts and policies at the operational level.
