DESCRIPTION

With a growing team in New York City and Washington DC, The Operations Manager in will manage various areas of the organization. With offices in both cities, the Operations manager will ensure that offices are running efficiently, with seamless service that meets the expectations and needs of clients and fellow employees. They will also manage operational systems, processes and policies in support of the organization.


ESSENTIAL DUTIES AND RESPONSIBILITIES


New Employee Orientation - Preparing work space, paperwork for new hires and provide basic office information and orientation.


Vendor Accounts & Invoices – Coordinate all vendor accounts and relations with special attention to those that involve service (copier, office supplies.); establishing new accounts as necessary; understand and anticipate the needs and expectations of vendor performance; maintaining service and billing files for all vendors; reviewing for accuracy and processing invoicing reports and requests for payment.


Building Mgmt. Relations and Office Upkeep – Maintain office supply, equipment inventory, and anticipate the need for new purchases in a cost effective and timely manner; address employee’s queries regarding office management issues (e.g. stationery and hardware). The Operations Manager will also maintain relationships with the building staff, manager and contractors and ensure that the organization is meeting all building requirements. Create Procedures to improve productivity at the organization.


OAI has two offices, one in New York and one in Washington, DC. This position is in the New York office; however, there will be some travel expected between the offices. Most of the travel will be in the first few months for training. 


Budget Preparation- Prepare bi-weekly job costing/team budget reports for team leaders to ensure teams are on track financially.


Tech includes – Create, Manage and increase the effectiveness and efficiency within organization (HR, IT and Finance), using technology and improvements to each function as well as coordination and communication. Participate in monthly meetings with IT vendor to discuss IT health of organization and special IT projects. Recommends information technology strategies, policies, and procedures by evaluating organization outcomes; identifying problems; evaluating trends; anticipating requirements. The Operations Manager will also work with the Operations Manager of DC on special IT projects towards the organization.


Other duties assigned.


This position would report to the DC Operations Manager and the Chief Operating Officer (COO). The DC Operations Manager is in DC and the COO is in the New York office.


Requirements:

·        Bachelor’s degree (Master’s degree preferred)

·        At least 2-4 years of professional work experience

·        Strong organizational skills

·        Must be detailed

·        Takes initiative, and able to function under pressure

·        Ensuring that deadlines are met without compromising quality

·        Highly developed written, verbal and interpersonal communication skills

·        Ability to develop and maintain positive working relationships with other team members

·        Willing and able to adapt to changes in the work environment; manage competing demands and able to deal with frequent change, delays, or unexpected events

·        Proficient in MS Office
