About ASO Communications

ASO Communications is a small progressive communications firm specializing in applying tools from cognition and linguistics to political discourse. We catalog and uncover patterns in language in order to understand why certain messages resonate where others falter. Our research process involves analyzing language data to detect underlying patterns, conducting specialized elicitation interviews with leading advocates, coming up with hypotheses for which narratives, frames and even single wording choices seem most effective, and then testing them through a range of qualitative and quantitative approaches. Beyond research, we conduct trainings on narrative, framing and messaging best practices around the world; generate creative campaigns that include video, radio, visuals, events, social media and earned media; and provide rapid response support and assistance to organizations, campaigns and leaders. We cover the range of progressive issues from climate change to immigrant rights and from racial justice to economic equality. While our work happens primarily in the U.S. at both the state and national levels, we have completed work or have ongoing collaborations in Australia, New Zealand, the UK, Latin America and the European Union. We enable progressive organizations and leaders to not merely understand public opinion but, through the right mix of wording choices, strategies and tactics, to build public will for more just, sustainable and equitable policies.

About the position

The Operations and Executive Associate will support the Principal of ASO, maintaining the operations side of the work in order to sustain and improve the administration, coordination and management of our research, campaigns and trainings. This role is for someone who wants to apply their attention to detail, capacity for setting up and running systems, and ability to communicate diplomatically with a wide array of stakeholders to growing the impact of a successful progressive communications firm.

While there are core functions to this position, there is an array of potential additional elements, the precise mix of which would vary depending on the experience, skills and interests of the person hired. 

Essential Scope of Work

1. Manage the Principal’s schedule, corresponding with organizational executives, consultants, elected leaders and donors to book calls, meetings and presentations. This requires juggling multiple time zones around the world, assessing team capacity and work flows, and sequencing projects to make better time management, financial, and strategic decisions to meet demand for our work.

  1. As we emerge from the pandemic, manage domestic and international travel and logistics including booking air and lodging, securing visas, ensuring sufficient travel time, troubleshooting when problems arise, and having good judgment about factors like cost versus efficiency. This also includes preparing itineraries, background documentation and managing both expense reporting and follow ups related to travel.
  2. Conduct initial correspondence with potential new partners and clients to solicit information about project needs, scope of work, training and speaking requests. This would include discussing pricing, timelines and stakeholders so the Principal can assess opportunities more efficiently and in alignment with annual goals.
  3. Develop, organize and manage various data management platforms for invoicing and tracking payments, sharing documents and presentations, and communicating with stakeholders/podcast subscribers/allies (including Quickbooks, Google Drive, Dropbox, MailChimp, etc).
  4. Copy edit final reports, handouts and presentations.

Additional Potential Elements in Scope of Work

  1. Draft project proposals, research reports, handouts, and presentations based upon detailed outlines, modeled on previous examples.
  2. Staff Principal at events and meetings in the U.S. and abroad.
  3. Maintain and update online presence including website (using simple platform that does
  4. not require coding) and social media.
  5. Develop mailing lists and update followers on new research, events, publications, etc.
  6. Seek out new opportunities for projects, collaborations or speaking engagements.
  7. Design new means to publicize upcoming events, recent research and televised lectures.

Desired Qualifications

  • Systems-oriented | Able to maintain, troubleshoot and improve project and financial management systems
  • Meticulous attention to detail | Show impeccable consideration in and follow through on your work with a demonstrated ability to manage time wisely to handle a variety of projects simultaneously, clearly articulate your questions and needs, and provide feedback or reminders to others, including the Principal
  • Effective writer and communicator | Demonstrated abilities drafting and editing various public-facing communications, including emails, acknowledgments, proposals and reports, and presentations; strong command of grammar with attention to nuances of English as written and spoken outside the U.S.; excellent listening and interpersonal skills and the ability to retain a lot of information
  • Proactive | Willingness to anticipate potential challenges and seek out new opportunities is key because this role will be shaped and defined by the person who fills it
  • Flexible | Openness to constantly adapt in response to a quick-shifting political environment and the iteration that accompanies an organization responsible for an array of deliverables for a range of stakeholders; this includes the confidence to share choice-points you see from an administrative perspective in order to keep operations running smoothly even as work shifts
  • Eager to learn | Curious about applied social science, empirical testing and communications; interested in a broad array of issue areas and means of contributing to the progressive ecosystem
  • Experienced | Experience working as an Executive Assistant or in operations in a fast paced environment ideal
  • Multi-lingual | Mastery of written and spoken Spanish highly useful but not required; mastery of French, Mandarin, Vietnamese, Portuguese and/or German may also prove useful
