Your key role would be working for a trained lawyer who is innovative in her practice of law.   She is an activist at heart, and she is at her best leading individuals and groups through difficult things, though she has an overactive brain with soooooo many good ideas. We have an amazing client list and most of them adore us. We need a strong, smart, organized executive assistant to keep the attorney on track, help schedule her time, manage deadlines, and make sure we are all home by 3:30 pm everyday. We never work on the weekends and the attorney travels for business and for play several weeks a year. Let's work smart, be efficient, stay focused and then let's get out of the office and have a life.

This is a part-time remote position at 20-30 hours per week, with the availability to travel to Monterey, CA once a month or quarterly, as needed once COVID-19 restrictions lessen up later this year. We are a paper free office and maintain a virtual law office management system. Our team also works directly with our sister affiliate organization, Healing and Reconciliation Institute, which is a 501c(3), that offers nonprofit assistance to Indigenous nations (tribes) as well as non-Indigenous organizations in California. We assist tribes in getting nonprofit status and exemption, and also tribes who are nonprofits, maintain compliance and assist with other land back initiatives. As of this year our office is transitioning to add a significant portion of our services to help Indigenous people and assist Nations (Tribes)

Your job duties would include, but are not limited to:

  • Being available to work at least three weekdays a week during partial business hours while remote
  • Managing the attorney calendar to schedule meetings with staff, contractors and clients
  • Performing clerical duties, including, but not limited to, placing orders, correspondence and answering and returning calls
  • Interacting with clients, visitors, and vendors via phone or email
  • Maintaining accurate records and entering data
  • Assisting with organizing events or other engagements when necessary
  • Assisting in setting up new client accounts
  • Attending weekly meetings
  • Engaging in educational opportunities as needed
  • Managing program-related internal and external communication, including newsletters and website updates
  • Performs additional duties and special projects when required. 
  • Running office errands, if needed (once no longer remote)
  • Invoicing and payroll, optional

Requirements and qualifications:

  • Good verbal and written communication skills
  • Excellent organizational skills
  • Ability to maintain a strict level of confidence
  • Project management skills
  • Demonstrate knowledge of some or all of the following softwares: Canva, G Suite, Microsoft Office, DocuSign, Zoom, Calendly, Adobe PDF, website platforms, and newsletter software (if you are knowledgeable in a couple of these, you likely can do the others)
  • Optional: Bookkeeping, including payroll and invoicing, a plus, but not required

Education and Experience:

Any combination of experience and training that would likely provide the required knowledge and abilities.
