Location: Washington Service Center (Hillsboro)

Reports to: Deputy Superintendent 

Salary: Support Services Salary Schedule, Range D ($16.79 - $17.55/hr)

Bargaining Unit: OSEA

General Description:

The primary purpose of this position is to provide receptionist duties for the Washington Service Center. This includes exemplary customer service through telephone and in-person contact with staff, students and parents, and the public. This position also manages the room scheduling software for the Washington Service Center, and receives and prepares outgoing mail. This position is also asked to provide a variety of clerical duties for other departments as available.

Qualifications: The requirements listed below are representative of the knowledge, skill and/or ability required.

A. A minimum of 18 years of age

B. A minimum of a high school diploma or the equivalent

C. Background and Criminal History Verification clearance

D. Exceptional telephone etiquette and personal greeting skills

E. Ability to operate a variety of office equipment including computer, copier, FAX, scheduling software, and other related equipment or machines

F. Possess organizational skills for effectively managing multiple tasks

G. Basic skill with Microsoft Office Suite – including Word, Excel, PowerPoint and Outlook

H. Ability to understand and follow verbal and written communication

I. Ability to respond to demands of public contact, communicate skillfully in stressful situations using conflict resolution strategies, and respond appropriately in emergencies or crisis

J. Ability to maintain the integrity of confidential information and able to respond sensitively to questions about student, family and staff members

K. Ability to work independently

L. Possess a valid Oregon driver’s license

M. Such alternatives to the above qualifications as the Board of Administration may deem appropriate and acceptable

Essential Functions: Include the following. Performs some or all of the following tasks. Other Duties may be assigned.

1. Greets and assists ESD staff, students, family, volunteers, agency partners and community members both in person and by phone – this includes routing calls, relaying messages, receiving and directing visitors, determining priority matters promptly and courteously

2. Screen inquiries of staff, students, parents, the public, etc. for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution

3. Provide a variety of secretarial and clerical duties for the office of the Communications Manager, and back up for other departments as available

4. Manage scheduling software for meeting room requests from NWRESD staff and partner districts and agencies. This also includes:

a. Maintain Google slides that display daily schedule of meetings on wall monitor in reception area to assist guests

b. Maintain room schedule signs that are posted outside each room

5. Sort and distribute incoming mail; prepare outgoing mail

6. Respect the confidentiality of administration, staff, students, and organizations of the community

7. Maintain a calm professional environment during times when interruptions, disruptions and a stressful environment interfere with the flow of work

8. Cultivate and model a respectful working and learning environment

9. Maintain regular and punctual attendance at work

Work Environment: 

Work is performed in a standard office setting.

Daily:

• Requires regular focus on a computer screen

• May be required to sit, stand, keyboard, write, hear and speak for extended periods of time

• Precise control of fingers and hand movements required.

• Work activities may include bending, stooping, kneeling

Weekly:

• Dealing with distraught or difficult individuals

Physical Demands:

The employee is frequently required to talk, hear, sit, stand and walk. Specific vision abilities required by this job include close vision, distance vision, color vision and peripheral vision. The physical demands strength rating reflects the estimated overall strength requirements of the job. The strength rating is expressed by one of the five terms: Sedentary, Light, Medium, Heavy and Very Heavy. This position is classified as Medium Work.
